Position Overview: Operations Admin

Location: DHRG Headquarters

 

Objective: The Operations Admin supports the Field Operations Team, including Superintendents, Project Managers, Foremen, and Field Crews. This role is pivotal in ensuring operational efficiency by managing work schedules, procurement of materials and equipment, and ensuring compliance with labor regulations.

Key Responsibilities:

  • Schedule and Dispatch:

    • Coordinate with the Field Operations Team to create effective work schedules aligning with project demands.
    • Manage labor dispatch through union trades and ensure all staff and employees are timely informed about their assignments through the accounting software
  • Compliance and Cost Management:

    • Ensure adherence to labor compliance requirements set by city and county regulations.
    • Handle equipment division tasks including dispatching and billing through dedicated software.
    • Process payroll by reviewing daily timecards and handle reimbursements and invoice discrepancies.
    • Enter invoices and scan documents. 
  • Procurement and Logistics:

    • Maintain a steady supply of materials and equipment, coordinating with vendors to ensure timely delivery that matches project schedules.
    • Oversee the approval and procurement process for materials, manage long lead-time items, and monitor market trends to inform cost estimations.
  • Meeting and Documentation:

    • Organize and conduct various project-related meetings, ensuring agendas are set, minutes are taken, and all documentation is properly archived.

Key Outcomes:

  • Ensure on-site availability of materials, tools, and equipment.
  • Confirm all employees know their next-day reporting locations by 3:00 PM daily.
  • Maintain operational readiness of all inventoried tools.
  • Support proficiency in document control software among team members.

Education:

  • High School Diploma or equivalent.

Professional Qualifications and Experience:

  • Prior experience in the construction industry.
  • Familiarity with construction equipment, materials, and their applications.

Required Skills:

  • Strong communication skills, both verbal and written.
  • Proficient in Microsoft Office suite and construction-specific software like Plangrid, HH2, and Bluebeam.
  • Effective organizational and planning skills.
  • Ability to work well with diverse teams and manage multiple tasks efficiently.

Languages:

  • Fluency in English required; bilingual abilities preferred.
