Executive Administrative Assistant

- Relieves Chief Executive Officer of administrative functions in order to increase the time CEO has available for executive level responsibilities.
- Must possess Critical Thinking Skills, be an Exceptional Problem Solver, and a have a Natural Flair for Creativity
- Display a Functional Understanding and Grasp of Microsoft Office Suite: Excel, Word, Power Point, Visio, Etc.
- Keen at Time Management when working alone in a fast-paced Office Environment
- Handles a wide variety of complex and confidential company matters
- Responsible for the direction and coordination of several business office operations.
- Directs and oversees the organization's account management policies, objectives, and initiatives.
- Oversees, and performs clerical and administrative support tasks.
- Supervises office activities to achieve maximum expense control and productivity.
- Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memorandums, and reports. Develops procedures and policies for office activities, such as filing, records maintenance, data entry, faxing and mail distribution.
- May also be responsible for the maintenance and replenishment of office equipment and supplies.
- Requires a bachelor’s degree in business management or marketing and 1-3 years of experience in the field or the related area, an associate degree, or its equivalent with at least 4-6 years of experience in the field or the related area, or a high school diploma and at least 7-9 years of experience in the field. A wide degree of creativity, an analytical aptitude, and a natural ability to problem solve is expected.
- Establishes work procedures and standards to improve efficiency and effectiveness of assigned operations.
- Responsible for ensuring compliance with established corporate standards (SOPs)
- Review and evaluate the work and performance of personnel.
- Manages and develops client accounts to initiate and maintain favorable relationships with clients.
- Assist in the implementation of human resources programs and policies for staffing, compensation, benefits, visa/green card processing, employee relations, training, and health and safety.
- Ensures compliance with EEOC, ADA, and OSHA guidelines.
- Plans and conducts new employee orientation programs to foster positive attitudes toward company goals.
- Keeps records of insurance coverage, pension plans, and personnel transactions such as new hires, promotions, transfers, and terminations.
- Develops and establishes procedures and policies governing customer correspondence and the handling of customer complaints.
- Responsible for overseeing advertisement, media outlets, and other promotional aspects of the company
- Schedules appointments, acquires new accounts, and conducts presentations for new clients.
- Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports.
- May assist with compiling and developing an annual budget.
