Basic Function:
The Accounts Payable Specialist will be responsible for ensuring the accurate and timely
processing of invoices, maintaining accurate records, and providing support to the procurement
team. This role requires strong attention to detail, excellent organizational skills, and the ability
to communicate effectively with both internal staff and external suppliers.
Major Responsibilities:
• Review, verify, and process invoices accurately and in a timely manner.
• Scan and enter all incoming invoices into the accounting system efficiently and
accurately.
• Communicate with vendors to resolve invoice discrepancies, answer queries, and
ensure smooth transactions.
• Collaborate with internal procurement staff to resolve any discrepancies or inquiries
related to invoices.
• Create and maintain new vendor accounts in the accounting system, ensuring all
required documentation and information are accurate.
• Perform regular reconciliation of accounts payable transactions and resolve any
discrepancies.
• Generate accounts payable reports and assist with month-end closing activities.
• Assist with additional tasks within the department as needed.
Job Qualifications and Skills:
• Proficiency in accounting software and Microsoft Office Suite.
• Ability to manage business platforms including Slack, inventory management systems,
and other internal software.
• Strong attention to detail and organizational skills.
• Ability to work independently and as part of a team.
• Excellent communication, research, problem-solving, and time management skills.
Experience & Education:
• Associate degree in accounting, or equivalent related business experience.
• 3 + years of experience in accounts payable or a similar role.
• Bilingual-Fluent in English and Spanish.
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
