Position Overview:

The Executive Assistant (EA) will provide high-level administrative support to the Director and oversee projects within the Massachusetts Institute for Equity-Focused Learning Health System Science (Mass EQLHS) and the Center for Learning Healthcare Delivery. This role involves serving as a key point of contact for faculty, staff, partners, trainees, and funders, and supporting a range of activities including educational programming, calendar management, and administrative processes. The EA will be responsible for managing complex schedules, assisting with educational activities, handling reimbursement tracking, and developing various reports and materials.

Pay: $29/hr 
Contract: 3+ months 

Key Responsibilities:

Administrative Support:
Provide complex administrative support to the Director and manage projects for Mass EQLHS and the Center.
Act as a central resource and key contact for Institute and Center faculty, staff, partners, trainees, and funders.
Calendar and Schedule Management:

Manage complex calendars for Institute and Center activities, conferences, and travel arrangements.
Coordinate scheduling for educational activities, including CME applications and annual reporting.
Educational Activities:

Support educational programs by scheduling events, sending communications, and handling CME applications.
Assist in preparing and reporting on educational activities and outcomes.
Reimbursement and Financial Tracking:

Assist in collecting, managing, and tracking reimbursements for scholars and staff.
Maintain accurate records related to financial transactions and reimbursements.
Documentation and Reporting:

Take notes during meetings and assist in developing preparatory and reporting materials.
Produce complex documents, perform data analysis, and maintain databases as required.
Project Management:

Independently initiate, organize, and implement systems and procedures to manage administrative processes efficiently.
Oversee and coordinate projects as needed to support the goals of the Institute and Center.
Qualifications:

Education:
High School Diploma or GED required.
Associate's Degree preferred.

Experience:
5-8 years of related work experience in an administrative support role.
Skills:

Advanced skills with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Access) and other web-based applications.
Ability to produce complex documents, perform data analysis, and maintain databases.
Excellent interpersonal skills, diplomacy, time management, and attention to detail.
Ability to independently initiate, organize, and implement effective administrative systems and procedures.
