The Executive Administrative Assistant is responsible for providing support to the Principal and all of his companies and associated staff. This position will assist in all aspects of the principals organization’s daily operations, including scheduling, personal support, and administrative duties. The Exec Admin Assistant will work closely with the Principal to ensure the smooth running of all of his organizations.

The principal is looking for the following qualities in a candidate:

  • A person that understands what it means to support the Principal in all aspects of his life and business
  • A person who understands confidentially due to the nature of the position, and holds confidentiality in the highest regard.
  • A person who naturally has the ability to be protective of the principal and take the necessary steps to ensure the principal is always insulated.
  • A person who can effectively represent the principal and negotiate on behalf of the principal in his best interests.
  • A person who understands that they are a representation of the Principal and any actions they take are a direct reflection of how your Principal will be seen/understood and to be mindful of that before taking any actions on his behalf.
  • A person that is proactive instead of reactive
  • A person that understands to value of time and is prompt in all aspects of life
  • A person that has the ability to deliver information as it happens particularly if is not good so that solutions can be constructed instead of time being wasted
  • A person who is coachable
  • A person who has great communication and phone skills/etiquette
  • A person that can share information effectively and have the ability to give intelligent input to enable the principal to make informed decisions.

Basic Core Duties & Responsibilities:

  • Schedule Appointments
  • Arranging meetings
  • Attend meetings, take notes and prepare meeting summaries
  • Follow up on action items in meetings
  • Conduct Research or subjects given to you by the Principal
  • Plan Travel Arrangements and Make Reservations
  • Party and Event Planning
  • Preparing and editing correspondence and reports
  • Relationship management
  • Oversee and Manage employees / control communication (gatekeeper)
  • Make day-to-day decisions in the interest of the Principal
  • Run Errands (dry cleaning, shipping, making sure preventative maintenance is done)
  • Picking up meals or coffee
  • Do Personal and Grocery Shopping
  • Personal Driver
  • Meal Preparation (either cooked or brought in)
  • Light Housekeeping
  • Oversee Household Maintenance and Upkeep
  • Filter Phone Calls
  • Pay Bills
  • Light Bookkeeping
  • Manage Emails and Correspondence

Qualifications:

  • Complete Confidentiality and Integrity
  • Subject to Full Background Check, Screenings, and other checks
  • Must be highly-organized
  • Friendly and Sociable
  • Problem-solver
  • Excellent communicator
  • Advanced negotiation skills
  • Availability to travel if needed (with all travel expenses paid)
  • Must have a minimum of 3 (three) years previous experience working in a professional office environment as a personal assistant or administrative assistant experience.
