Customer Service Representative

Location: Cambridge, MA

Hours:

  • Full time hours
  • Monday – Friday 8:30am - 5:00pm

Job Requirements:

  • Bachelor’s degree in Business Management. 
  • 2+ years of experience in office management.
  • Knowledge of facilities or contract services would be beneficial.
  • Computer Skills (Highly Proficient in Microsoft Office- Excel, PowerPoint, Word, Etc.)
  • The ability to learn and become proficient in other software systems is required.
  • Strong organizational skills and interpersonal skills. Must be able to work collaboratively and effectively with personnel across the University Community.
  • Must be a team player and be able to work in a fast paced, deadline oriented environment.
  • Provides call center support.
  • Assist in managing work orders by defining key tasks, estimating duration, identifying constraints, assigning appropriate resources as necessary.
  • Regularly provide support to managers by coordinating tasks involved in scheduling work being performed in assigned buildings and updating managers on the status of scheduled work in a timely manner.
  • Responsible for running and reviewing reports to identify work that is overdue and which poses a risk in terms of quality assurance and service delivery
  • Implement a process of continuous improvement when it comes to scheduling process and methodology.
  • Responsible for the successful operation of SchoolDude (CMMS) system with support from the Planner/ Scheduler team member.
  • Interacts and manages relationships with numerous contractors and suppliers in order to purchase goods and services.
  • Maintains a process to track and manage equipment, locations, and maintenance personnel, contractors, materials and supplies data.
  • Process and maintain both computer and paper files of all invoices.
  • Provide the highest level of customer service especially in receiving/ managing calls from university personnel and/or other tenants. Dispatch trades or cleaning personnel as needed in response to incoming calls/concerns from university personnel and/or tenants.
