Overview

The Willowsford Conservancy seeks a motivated and organized Facilities Development & Management Project Manager. The Project Manager will implement the following key projects – 1) site preparation and construction of a new residence at one of our farms 2) expansion and reconfiguration of our farm’s packing shed and associated buildings and infrastructure, 3) repairs to the driveway leading to the packing shed, which is located in a flood zone. Both projects include changes to existing utilities and/or new utility connections. In addition, the Project Manager will support facilities management of the organization’s existing agricultural buildings and sites, which include the packing shed, storage buildings, stand-alone farm stand, well systems, fencing, and other structures.

A strong visioning and facility planning effort has been completed for our Farm in alignment with our strategic plan. The Project Manager will work with our Farm Director to refine and implement these plans leveraging existing and new subcontractors. Our board has funded the residential project and the substantial first phase of the packing shed and driveway projects with fundraising efforts underway for the future phases. This is an at-will position with guaranteed funding for 12 months with options to renew for one or more six-month extension periods at the end of the first year based on funding. Depending on the experience and expectations of the candidate, the position can be structured as a temporary full-time position with benefits or as an independent contractor. There is the possibility the position will be budgeted as a permanent full-time or part-time position in the future.

The Project Manager will enjoy interacting with people, solving problems, and implementing projects. The ideal candidate is organized and able to balance multiple projects at one time. Knowledge of commercial development and construction is important with experience in agricultural, vineyard, or brewery projects a plus, including developing pro forma and taking the project from conception to approvals to completion. Familiarity with the zoning and building permitting process in Loudoun County or similar community will also be important.

Responsibilities

 

Administration

· Keep detailed work plan for all projects.

· Develop project budgets for feasibility, preliminary, and final (including both hard and soft costs).

· Obtain estimates, negotiate contracts, submit invoices, and track budgets.

· Create monthly status reports and meet regularly with Executive Director and Farm Director.

 

Facility Planning

· Participate in organization’s short- and long-term facilities planning.

· Work with the Executive Director and Farm Director to make sure that new and future development and construction projects align with the organization’s strategic plan.

· Ensure that planned project designs are optimized and dependencies identified before implementation.

· Assist with annual budgeting process for Capital Expenditures. Develop pro forma budget for future farm improvements and assist with analysis on ROI for revenue generation and implementing the mission-based aspects of our work.

 

Site Preparation

· Ensure new projects are implemented in accordance with local, state, and federal regulations and permitting requirements.

· Create work plan for site prep and utility connections and negotiate and retain all necessary subcontractors.

· Manage engineering and utilities work coordinating contractors (such as road improvements, site work, relocation of utilities).

 

Design & Development

· Review and propose any refinements to existing designs and plans for new projects, develop work plan for implementation, and manage design and compliance.

· Revise scopes and budgets during implementation phase.

· Manage construction projects and work closely with any subcontractors selected for construction.

· Conduct walkthroughs and create punch list to get projects to completion.

 

Facilities Maintenance

· Serve as project lead for managing any routine repairs and maintenance at existing farms, including buildings and infrastructure.

· Contribute to reserve study update.


Qualifications

· At least 5 years of experience in design, real estate development, or construction. Experience working on or managing commercial projects, such as agricultural, vineyard, or brewery projects is preferred. Experience in small-scale residential is a plus.

· Adeptness at web-based platforms for project management and budget tracking, such as Excel.

· Team player who is collaborative with strong communication skills.

· Frequent driving between team offices/sites is needed (valid driver’s license required).

· Must be authorized to work in the U.S.

· Preference given to candidates with bachelor’s degree in architecture, construction management, or related field.

· Ability to periodically attend evening meetings or appointments.


Compensation

As noted above, there is flexibility in how this position is structured. The Project Manager can be brought on as a contractor with a monthly retainer or as a temporary full-time employee with benefits. Benefits include medical, dental and vision insurance, short-term and long-term disability, 401(k) retirement plan with employee contribution, phone stipend, parental leave, paid vacation, and holidays.
