Looking for a full time Medical Practice Manager to join our busy wellness clinic in Scottsdale. Ideal candidate will have experience working in a medical/chiropractic/dentist office setting, is organized and self-motivated. The ability to multi-task, yet maintain good communication is crucial to the success in this position. The ideal candidate will always have a smile on their face. Candidate must be willing to learn and work with our Chiropractors, Naturopathic Medical Doctor, and Neurofeedback Technician. Full training will be provided.

Work Schedule: * Hours of Operation: Monday - Friday, 8am -- 5pm

The position will require you to be scheduled at both offices. Mileage will paid if you are at the both offices in the same day.

Responsibilities and Duties

Responsible for the operations and administration side of a medical office. Ensures office is running smoothly by supervising office staff, hires, terminates, and trains employees, and oversees the billing portion of the office. Primary Responsibilities

Position includes but not limited to:

Serving as liaison between upper management, practitioners, staff, and patients

Manage and Oversee Operations:

  • Lead our front desk and back off assistants, ensuring smooth daily operations.
  • Provide leadership, guidance, and support to office staff, fostering a positive and productive work environment

  • Point of contact between Attorneys, Insurance Companies, and Patient on Personal Injury Cases

  • Scheduling

  • Answering phone, emails and texts

  • Collecting patient payments

  • Inventory control

  • Ordering

  • Budget Control

  • Gathering and Sending all medical records

  • Employee scheduling

  • Interviewing

  • Hiring/ Firing

  • Training

  • Make sure End of Days have been balanced correctly

  • Delegating tasks to employees

  • Oversee patient check-in and check-out processes, ensuring efficient and accurate registration and billing procedures

  • Verify patient insurance coverage, eligibility, and benefits, and obtain pre-authorizations and referrals as needed

  • Patient Relations and Customer Service: Serve as a point of contact for patient inquiries, concerns, and complaints, and address patient issues in a timely and professional manner

  • Ensure high-quality customer service and patient satisfaction by providing courteous and compassionate assistance to patients and their families

  • Quality Assurance and Compliance: Ensure compliance with regulatory requirements, practice policies, and industry standards for office operations, patient privacy, and confidentiality

  • Implement quality assurance measures, audit procedures, and performance improvement initiatives to enhance office efficiency and effectiveness

  • Vendor Management and Supplies Procurement: Manage relationships with vendors, suppliers, and service providers to ensure timely delivery of office supplies, equipment maintenance, and support services

  • Coordinate procurement of office supplies, medical equipment, and other resources needed for office operations

Qualifications and Skills

  • Must have high school diploma or equivalent
  • Must have prior office administrative experience, Chiropractic, Dentist or other Medical setting
  • Must be reliable and on-time
  • Must be personable and have excellent customer service skills
  • Must be well-organized with good time management skills
  • Must be proficient Microsoft Excel, Word, Google Docs, and Google Sheets
  • Must have good communication skills
  • Must have good decision making skills
  • Must be able to pay attention to detail with accuracy
  • Must have the ability to work well with others
  • Must be able to maintain confidentiality at all times
  • Ability to work under minimal supervision
