Administrative Assistant /Marketer
Job Description Position Job Title:
General Summary The Administrative Assistant – Part-time leading to a full-time position. This person is responsible for providing administrative support to the owners of Optimal Healthcare Solutions. To assist with and facilitate progress towards the company’s goals. The assistant will perform daily clerical work and support the owners with various projects, data management, and other general office duties. In addition, this position provides logistical assistance for various meetings and events. The ideal candidate is experienced in handling a wide range of administrative and director support-related tasks and can work independently with minimal supervision. This person must be exceedingly well-organized, flexible, and able to uphold the mission and values of Optimal Healthcare Solutions in every aspect of their work. The ability to maintain a high level of professionalism and confidentiality while interacting with all clients while remaining adaptable, proactive, resourceful, and efficient is crucial to this role. This position is not for a side job or for anyone looking for a short-term gig. This is a Career changing position. You help us reach our goals, you will be rewarded.
Essential Duties & Responsibilities:
• Provides administrative support to both owners, which includes scheduling, meeting coordination, material preparation, data entry, making travel arrangements, processing orders, and other general administrative tasks.
• Schedules a wide variety of activities (e.g., appointments, meetings, travel reservations/accommodations, facility usage, etc.).
• Identifies scheduling conflicts and provides regular scheduling updates to the team during weekly team meetings.
• Assist with managing calendar/ appointments for the owner, including invitations for any events.
• Coordinates meeting and event registration and logistics, which includes securing and preparing space, arranging for food refreshments, preparing materials, and confirming participant reservations and attendance.
• Prepares a variety of documents (e.g., correspondence, agendas, minutes, event programs, reports, etc.) to communicate information and/or create documentation in paper and/or electronic format. Uploads all documents in the specific folders and manages the organization of the folders.
• Maintains up-to-date records, which includes files, contacts list, and database entries (e.g. Excel)
• Participates in event planning as required. Attend live networking events during the day or evenings.
•Create products for clients to purchase.
Marketing
• Provides support in managing social media posts on various platforms as assigned. · Assist with FB Group · Assist with creating, copying, folding, and preparing brochures for mailing
