Program Coordinator

The Program Coordinator (PC) provides administrative and logistical support for an extensive, complex, and high-profile Public Sector Program under the direction of executive management. This role is a full-time position.
Hours: Monday-Friday, 9:00 AM - 5:00 PM EST / 40 hours per week requiring some flexibility
Onsite requirement: This hybrid position requires presence at the SoHo office approximately 2-3 days per week on average.
Responsibilities:
Prepare and distribute weekly client PowerPoint presentations
Produce and distribute the meeting minutes/action items from biweekly customer meetings
Contribute to monthly customer PMO decks
Staff Coordination with project leaders, PMO, vendors, and clients to process onboarding, transitioning, and off-boarding personnel
Process on-boarding documentation
Request required accounts and access for new hires
Ad hoc tracking personnel activities such as re-vetting, vendor/role transitions, etc.
Host New Hire Orientation meetings and maintain associated presentation
Conduct quarterly validation audits of (600+) program personnel
Update the Communication Management Plan cyclically for review and submission to the client
Organize team all-hands meetings and other ad-hoc program events
Manage general office tasks and coordinate with facilities as needed, including collecting and facilitating guest arrivals and access
Drive continuous PMO process improvement
Cross-training to provide PMO coverage
Qualifications & Job Criteria:
3-5 years of experience in a professional administrative environment; a BA/BS degree is preferred, but equivalent work experience will be considered
Exceptional Attention to Detail: Demonstrates meticulousness in all tasks, ensuring accuracy and completeness
Resourceful Problem Solver: Proactively identifies solutions and leverages available resources to overcome challenges
Strong Organizational Skills: Manages multiple tasks efficiently, prioritizing workload to meet deadlines
Effective Communication: Clearly and professionally communicates with team members and stakeholders
Proactive Follow-Up: Ensures all tasks are completed to closure, following up diligently on pending items
Adaptability: Quickly adjusts to changing priorities and remains flexible in a dynamic work environment
Confidentiality: Maintains discretion and confidentiality with sensitive information.
Proficient in Office Software: Skilled in using Microsoft Office Suite (intermediate to advanced skills in PowerPoint and Excel) and other relevant administrative tools
Customer Service Orientation: Provides excellent support to internal and external clients, addressing inquiries promptly
Team Collaboration: Works well within a team, contributing to a positive and productive work environment
Prerequisites:
Proficiency with Microsoft Office applications—Outlook, PowerPoint, Excel, and Word.
Must be willing to complete knowledge tests for Outlook, PowerPoint, Excel, and Word.
Candidates must be willing to undergo fingerprinting and criminal background checks.
