 Assistant Project Manager

Job Description

The APM (Assistant Project Manager) is responsible for owning the project administration process and to be the liaison between office and jobsites. This includes understanding the project goals and deadlines within the budget. Main task as an APM is to supervise the paperwork of a construction project. Responsibilities include assisting in administrative functions of project-related assignments including overall planning, tracking and documentation from the project proposal phase to the project closeout. Projects are typically outlined with specific guidelines to be followed.

 Correspondence:

Will act as a go-between corresponding both verbally and in writing between the company and the Owner, General Contractor, Subcontractors  and vendors. Correspondence usually includes telephone calls and emails. Maintain updated records and files.

 Request for Information (RFI):

Responsible for administering field RFI’s, generating RFI’s in the system, distributing to all involved parties and in charge of tracking and updating RFI’s. Responsible for submitting weekly reports of open RFI’s to project teams.

 Shop Drawings:

In charge of receiving and submitting to the required parties and keeping shop drawings up to date.

 Drawings:

Responsible for maintaining and update project drawings with all versions and revisions. In charge of maintaining As-builts, reference all changes directives or RFI’s (Asked or Answered) on each respective page.

 Submittals:

In charge of receiving and submitting to the required parties and keeping submittals up to date. Responsible for submitting weekly reports of open submittals to project teams.

 Productivity Reports:

Feed, monitor and submit daily productivity reports to the project team.

 Daily Reports:

Review and commit daily reports in the system with Superintendent, including project pictures and any issues arise during the day. Attach respective timesheets signed by Superintendent.

 Time Keeping:

Update the time keeping system daily with cost codes for each worker no later than the next day worked by 11:00 am. Save a PDF report in the respective project folder.

 Scheduling:

Assist in updating the project schedule as required by the project manager or supervisor to accommodate ongoing changes. Monitor project progress and report all task milestones. Prepare project reports and presentations.

 Human Resources (HR):

New Hires – Provide in a timely manner all necessary paperwork and documentation for new hires and coordinate with the HR department to ensure all new workers are promptly set up in the timekeeping system. Provide new workers with the necessary training and orientation on time keeping rules per company policy.

Dismissals – Immediately communicate any dismissals with the HR department. Collect company property and signatures as applicable.  

Incidents/Accidents:

Immediately record and report to HR Department any events using the proper form and attach pictures and statements and provide as much detail as possible.

 Meetings:

Attend all required meetings as requested by project manager to take notes of important issues or concerns. Issue meeting minutes in the system by no later than the following day to all present.

 Field office:

Responsible for the office setup, internet connections, printers, Wi-Fi, radios and overall communication systems, order and maintain office supplies, document filling, and other provisions as necessary. Always maintain an organized and clean environment.

 Subcontractors/Vendors: 

Collect all paperwork required prior to subcontractor/vendors begin work on a project.

Submit to office and get final approval prior to hire.

·       A Valid Certificate of insurance (GL, W/C)

·       W-9 Form

·       Fill out the subcontractor questionnaire

·       Make sure the company is valid (www.sunbiz.org)

Invoices and Delivery Tickets:

Coordinate any orders.

Verify quantities at delivery.

Upload coded delivery tickets on Daily progress reports.

Verify and resolve any Draft invoices in the system, on a daily basis.

Keep track of and follow up any disputes with vendors and/or subcontractors.

 Rentals:

Responsible to receive all rental equipment and check conditions prior to sign delivery ticket.

Mark delivery date on equipment with a permanent marker

Keep jobsite equipment rental log updated with vendor name, equipment ID, date of delivery and return.

Ensure rental equipment is returned clean, full of gas/diesel/Def blue and without damages (upload pics on daily report).

 Tools:

Responsible for all job site tools distribution, inventory, and maintenance

 Jobsite Warehousing:

Responsible to forecast and order as needed all construction material supplies.

Responsible to coordinating the returning of all excess materials to the company’s warehouse.

Responsible for keeping the jobsite warehouse clean and always organized.

 Miscellaneous:

Responsible to open and close project site

Responsible to install, maintain and remove all company signage.

 Safety (only applicable in case a Safety Superintendent is not assigned to a particular project):

Responsible to always maintain a minimum of 4 visitor hard hats and vests.

Ensure all workers wear a Silva safety shirt at all times.

Booking safety training for employees.

Maintain all safety certifications records up to date.

Have all required SDS’s on site at all times.

Stock and maintain first aid kits.

Maintain available at all times all safety manuals.

Submit to employees company safety program.

Maintain the OSHA-300 log.

Responsible to file the weekly safety meeting report.

Maintain updated records of all safety orientations.

Responsible to accompany any injured employee to the medical facility and assist with completing any paperwork providing WC policy number and carrier. Collect copies of all documents completed, scan and upload in the system. Communicate with the project team and HR Department immediately.
