Receptionist – Administrator

 

Position Summary/Objective

The primary objective of this position involves providing reception, administrative and limited marketing support to Guidance Capital and to all associates in the Practice. This position involves working closely with practice Partners and associates to schedule appointments and keep calendars, maintaining client relationships with excellent service, manage client first impressions, and other office tasks.

Principal Duties and Responsibilities

Receptionist

o Actively schedule client reviews

o Maintain Practice calendars for Partners

o Answer main line and effectively manage the Practice “switch board”

o Manage guest first impressions, offer beverages, ensure guests general comfort

o Manage Practice Client Relationship Management software, Redtail

o Update records with all new information gathered. Clean and organize archive files, upload unessential materials and shred

o Manage and keep Practice check blotter

o Manage Practice incoming and outgoing mail

o Ensure general common area cleanliness (kitchen, conference rooms, training room, etc.)

o Client event planning and seminar preparation working directly with Partners

o Manage and upload correspondence and some practice regulatory requirements

Administration

o Handle client service requests

o Assure the client files are properly established and maintained

o Attend regional meetings to identify and implement more efficient ways of doing business

o Perform other office administrative functions that may be required from time to time

Skills/Knowledge

o Excellent telecommunication skills

o Excellent written and oral communication skills

o Organizational and time management skills

o Ability to use basic computer software such as CRM software

o Ability to expedite requests for service in a timely manner

o High degree of flexibility to deal with a variety of situations

o Ability to take instruction and execute on assignments

Experience

o Experience working in a client service environment

o Three to five years of client facing experience, preferably in the Financial Services industry though not required.

o College degree or related skills may be substituted for work experience.

Supervision

o This Position will report directly to practice Partners.

o Performance Guideline Review to set annual goals will be given each year by February 1st.

o End of year achievements measured against Performance Guideline Review will be evaluated each December.

Compensation

­­­Compensation will be calculated based on the following: base salary, bonus (if eligible), and any eligible commission on sales.

Base Salary – a base salary that is commensurate with experience and with going market rates

Bonus – Bonuses will be computed based on your level of responsibility and performance within the organization. Bonuses will be paid in December/annually and are based on meeting prior year’s performance objectives and goals. The Practice Performance Bonus will be reviewed annually.

Team and personal goals will be specified at time of yearly review. Goals must be specific, measurable, achievable and compatible with the goals of the team.
