Our growing construction company is looking for an Office Coordinator/Bookkeeper who can help us create a more productive work environment. You will be an integral part in ensuring that our office operations run smoothly while adding maximum value to the organization. The ideal candidate for this position is an organized, detail-oriented individual who is able to manage multiple projects at once in a fast paced environment. Must be a team player with strong work ethic and able to carry duties with accuracy and speed.

Duties and Responsibilities include the following. Other duties may be assigned.
1. Provide support to Operations Manager as and when required.
2. Answer telephone and welcome visitors.
3. Coordinate with Manager to schedule team meetings and to provide follow-ups.
4. Order, store and organize all office supplies.
5. Pick up and drop off mail at the post office. Sort and distribute incoming mail. Scan to inboxes or deliver hard copy when required.
6. Perform general office administrative and clerical duties.
7. Help to keep copy/print rooms, conference rooms, neat and organized.
8. Prepare presentation folders for our Principal to use for meetings with prospective clients.
9. Responsible for monitoring cost and expenses for various projects and creating job statuses reports.
10. Ensuring all insurances for our subs are in place and current.
11. Sort, enter Accounts Payable data and print checks.
12. Prepare, verify and submit invoices to customers.
13. Prepare and coordinate deposit activities.
14. Performs other related duties as assigned.

Skills and Qualities Required:
• Exceptionally organized with documents, procedures and office work area.
• Proficient typist.
• Willingness to perform a variety of jobs as requested.
• Good Proofreading skills.
• Takes initiative and can start/complete tasks with basic direction.
• Ability to learn & follow instructions.
• Excellent Computer knowledge. Proficient in Word, Excel, Outlook and Quickbooks. Learn and become proficient in the firm's management system (Procore) and other carrier software or websites, as needed.
• A team player.
• Exceptional phone skills.
• Energetic & Self Motivated.
• Strong Communication skills.
• Ability to Multi task and organize ongoing projects, looking for ways to become more efficient in completing tasks.
• Consistently looks for ways to help support the different divisions of the firm.
