Job Title: Office Administrator / Executive Assistant

 

We currently seek a talented and experienced Office Administrator / Executive Assistant within our client’s leading commercial real estate firm. The ideal candidate will be responsible for handling administrative and marketing functions that are essential to the team's success. Individuals must possess strong organizational skills, proficiency in Microsoft Office (especially Word and Outlook), familiarity with Mailchimp, and the ability to work effectively with a small team. Responsibilities include drafting and preparing documents, maintaining files and data, and preparing marketing materials and presentations. Previous background in real estate is a plus. This position is for our client’s San Clemente, CA office. We seek Southern Orange County residents only.

 

Job Requirements:

·       Draft proposals and other formal documents

·       Prepare Lease, Sale, and other transaction documents. Scan and save all transaction-related documents

·       Transaction coordination for escrows

·       Data entry into company database

·       Organize and maintain filing systems and additional paperwork/information

·       Plan and schedule appointments and events

·       Greet/assist onsite guests. Answer inbound calls and successfully transfer

·       Edit brochures, handouts, and other marketing materials as needed

·       Prepare and deliver team listing presentations for prospective property assignment

·       Participate in marketing presentations

·       Edit and send marketing emails to business owners and the brokerage community with new property information

·       Edit custom newsletters, postcards, and Other promotional pieces as needed

·       Edit marketing materials such as brochures, postcards, newsletters, and flyers

·       Setup and manage open houses and other company events

·       Perform general administrative office tasks quickly and accurately

 

Qualifications:

·       Excellent written and verbal communication skills

·       Strong computer skills

·       Microsoft Office. Word & Outlook (Excel a plus)

·       Mailchimp basic knowledge

·       Marketing/Graphic design programs such as Canva, Adobe Illustrator/InDesign/Photoshop or similar is a plus

·       Organized, follows directions, accurate, and reliable

·       Attention to detail

·       Ability to interact with a wide range of clients
