Job Description:
Position Overview: As a Provider Support Specialist, you will be responsible for managing inquiries, providing support, and recruiting providers to enhance our service offerings. You will handle and manage calls, respond to emails, and assist with client concerns, all while maintaining professionalism, empathy, and clarity in every interaction. Your role will also involve understanding and applying DDD (Developmental Disabilities Division) regulations, logging detailed records of customer interactions, and working collaboratively with a team. Additionally, you will support marketing initiatives and contribute to building strong, lasting relationships with providers and families.
Key Responsibilities:
- Handling Inquiries and Providing Support: Respond promptly and effectively to inquiries from support coordinators, providers and clients, ensuring their questions and concerns are addressed with accuracy and professionalism.
- Recruiting Providers: Actively engage in the recruitment of new providers, understanding their needs, the needs of the families, and aligning them with our company’s offerings as.
- Answering and Managing Calls: Manage incoming and outgoing calls efficiently, providing clear and concise information while resolving issues or directing calls as needed.
- Responding to Emails: Handle email correspondence professionally, ensuring timely and accurate responses to provider and client queries.
- Assisting with Client Concerns: Address and resolve client concerns with a focus on empathy and problem-solving, ensuring high levels of satisfaction.
- Understanding of DDD Regulations: Apply knowledge of DDD regulations to ensure compliance and provide informed support to providers and clients.
- Logging Customer Interactions: Maintain detailed and accurate records of all customer interactions to ensure a comprehensive history and facilitate follow-up actions.
- Maintaining Professionalism, Empathy, and Clarity: Uphold a high standard of professionalism in all communications, demonstrating empathy and clarity to foster positive interactions.
- Effective Communication: Communicate effectively both verbally and in writing, ensuring all information is clear and concise.
- Team Collaboration: Work closely with team members to share information, solve problems, and achieve common goals as well as other duties as needed.
- Marketing Support: Assist in marketing efforts to promote our services and attract new providers.
- Building Relationships: Develop and maintain strong relationships with providers, clients, and team members to enhance collaboration and service delivery.
- In-Home Visits: Conduct in-home visits to discuss and promote the services we offer. During these visits, you will present information about our offerings, address any questions or concerns, and build relationships with potential or existing providers and clients. Ensure that these visits are conducted with professionalism, respect for privacy, and a focus on understanding and meeting the specific needs of the individual or provider.
Qualifications:
- Experience: Proven experience in customer service, provider relations, or a similar role is preferred.
- Skills: Excellent communication skills, both verbal and written; strong problem-solving abilities; proficiency in managing calls and emails; and the ability to maintain professionalism and empathy in all interactions.
- Knowledge: Familiarity with DDD regulations and related compliance requirements.
- Teamwork: Ability to work effectively within a team environment and contribute to collaborative efforts.
- Marketing Insight: Basic understanding of marketing principles and strategies is a plus.
- Attention to Detail: Strong organizational skills and attention to detail in logging and tracking customer interactions.
- In-Home Visit Capability: Willingness and ability to conduct in-home visits, including presenting our services, handling logistical aspects, and engaging with clients and providers professionally.
Education and certifications:
- High school diploma or equivalent required; Associates degree or higher in a relevant field is preferred.
- Valid Driver's license
