We are seeking a Administrative Assistant with a Design flair to join our team as a Construction Receptionist/Admin Assistant. This role is perfect for a creative individual who excels at both design and administrative tasks. You will be the first point of contact for our company, managing initial interactions with clients and visitors while also applying your design skills to create compelling marketing materials and manage our social media presence. This position blends creativity with organizational prowess, offering a unique opportunity to make a significant impact on our office operations and brand image.

Key Responsibilities:

Receptionist/Admin and Design Support:
• Create and design standard option booklets and customized option booklets for projects and job files.• Work with the design build team on projects and providing input on interior design, and overall design of a project.•May work with clients to determine initial goals and requirements for the space to be designed.• Collaborates with Project Managers, Architectural Design staff to further understand how interior space should function, appear.• Prepares sketches or other visual aids to demonstrate preliminary designs to client.• Consults with client to select materials, furnishings, and decor.• May uses design applications to prepare and illustrate renderings for client presentations.• Manage company social media accounts such as Facebook, Instagram and LinkedIn responding to questions, comments, or reviews. Website updates and leads.• Answer and manage phone lines, direct callers, and provide information about company services and projects.
 • Greet and welcome visitors, directing them to the appropriate parties.
 • Perform general office tasks, including copying, printing, filing, typing, and sorting.
 • Process and distribute incoming and outgoing mail; manage office supply inventory and place orders as needed.• Plan/Assist with organizing company events.
 • Maintain and update the customer database with accurate information data entry and processes.
 • Handle meeting room bookings and organize conference spaces. Run errands and make bank deposits as needed.
• Assist Accounting with liens, supplier release waivers, customer payment inquiries, filing, and Certificates of Insurance (COI).
 • Maintain office machines, including phone systems and computer networks; seek additional help when necessary.
 • Contribute to team efforts by maintaining professionalism and confidentiality.
Qualifications:

  • Experience in interior design, marketing, and social media management, including creating marketing materials.
  • Ability to apply a sense of style to create aesthetically pleasing interiors and exteriors.
  • Strong visual design skills including proportion and aesthetics.
  • Excellent verbal and written communication skills.
  • Ability to use computer-aided design software.
  • Proficiency Microsoft Office Suite (Word, Excel, Outlook,).
  • Canva, PowerPoint, GSuite.
  • Quickbooks Desktop experience a plus.
  • Creative and detail-oriented with strong organizational skills and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and work effectively in a dynamic environment.
  • General receptionist skills, including phone management, greeting visitors, and handling office tasks.
  • Must have reliable transportation
