Under guidance of the optometrist, the office manager will oversee the front office as well as perform activities including but not limited to:

  • Day-to-day operations: Overseeing the facility's day-to-day operations, including front desk activities and patient flow
  • Finances: Managing the office's budget, payroll, billing, and insurance claims
  • Patient care: Supervising the patient registration process and scheduling appointments, and resolving patient complaints
  • Staff: Supervising, delegating and scheduling non-clinical staff, such as receptionists, billers, and administrative assistants, and conducting interviews and hiring
  • Policies and procedures: Developing and implementing office policies and procedures, and ensuring compliance with regulations such as HIPAA and OSHA
  • Records: Maintaining and updating medical and staff records, ensuring accuracy and proper filing
  • Supplies: Managing the inventory of medical supplies and equipment
  • Customer service: Improving customer service and patient satisfaction
  • Communication: Able to communicate with people with various levels of medical knowledge in both written and verbal forms.

Day-To-Day Operational Responsibilities Include:

  • Answer phone calls and greet patients.
  • Schedule patient examinations and monitor patient flow throughout the office, properly communicating delays.
  • Perform pre-examination tests on all patients before they see the optometrist, including the administration of diagnostic tests.
  • Communicating with patients, doctor, and staff respectfully.
  • Educate patients on their insurance coverage and vision benefits.
  • Dispense contact lenses and train patients on proper contact lens use and care.
  • Obtain insurance authorizations and verification of benefit and maintain patient records.
  • Process and submit medical claims/billing for a variety of vision and medical insurances.
  • Perform financial transactions and accurately post charges for exam fees, co-pays, and products sold.
  • Learn and understand ocular terminology and diseases.
  • Keep office documentation organized and ensure equipment and office is properly maintained.
  • Other medical-office related tasks.

Qualifications:

  • Kind, friendly, professional and have outstanding verbal and written communication skills to provide high quality customer service/ patient care.
  • Dependable, punctual, hard-working, and organized to support a busy patient schedule.
  • Strong multi-tasking and time management skills.
  • Strong organizational skills and attention to detail.
  • Strong problem-solving skills.
  • Ability to do basic math.
  • Team player with good interpersonal and listening skills.
  • Goal oriented with a passion for self-improvement and continuing education on optometric tasks, equipment, and procedures.
  • Clerical training and experience
  • Ability to communicate with people with various levels of medical knowledge in both written and verbal forms

  • Computer software proficiency

Supplemental Pay:

  • Base Pay

Schedule:

  • 6-8 hour shift

  • Bilingual (Spanish preferred, Chinese a plus)

Experience:

  • Experience within the healthcare field required.
