Job Summary:

We are seeking a proactive and detail-oriented Sales Administrative Assistant to support our sales operations and office management. The ideal candidate will be responsible for preparing estimates and invoices, managing the officer’s emails and calendar, and accompanying the officer to client meetings and job sites in the city. This role requires excellent organizational skills, strong communication abilities, and a willingness to assist with various administrative tasks.

Key Responsibilities:

  • Prepare and manage estimates, invoices, and other sales-related documents.
  • Handle and organize the officer’s emails, schedule, and daily correspondence.
  • Travel to job sites and client meetings in the city with the officer as needed.
  • Coordinate and confirm appointments, meetings, and travel arrangements.
  • Assist in maintaining and updating client records, contracts, and project details.
  • Provide administrative support including filing, data entry, and document management.
  • Liaise with clients and vendors to ensure smooth communication and coordination.
  • Assist with tracking project progress and following up on pending tasks or documents.

Qualifications:

  • High school diploma or equivalent; additional certification or coursework in administration, sales, or related fields is a plus.
  • Proven experience in administrative support, preferably in a sales or construction environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with invoicing or estimating on QuickBooks.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize workload effectively.
  • Comfortable traveling within the city for work-related tasks.
