Job Overview

We are seeking an experienced and detail-oriented Business Administrator to join our dynamic team. The ideal candidate will provide administrative support, manage office operations, assist in event planning, commerical billing, payroll, submitting taxes and reports. The successful applicant will have excellent communication skills, a strong background in administrative tasks, and a passion for delivering exceptional customer service. Responsibilities
- Manage front desk activities, including greeting visitors, answering phone calls, and directing mail and packages
- Develop and implement training programs for new staff members
- Provide administrative support, including preparing documents, handling mail, and maintaining office supplies
- Management of human resources, including onboarding new employees, managing employee records
- Coordinate with vendors and manage office supplies and equipment
- Plan and organize company events, meetings, and conferences
- Maintain a clean and organized office environment
- Perform administrative tasks, such as data entry, filing, and record-keeping
- Serve as the primary point of contact for clients and customers, providing exceptional customer service

-Successfully managed and submitted state sales tax filings in compliance with regulatory requirements, ensuring accuracy and timely payments to avoid penalties.

-Successfully prepared and submitted quarterly IRS Form 941, ensuring accurate reporting of payroll taxes and timely compliance with federal regulations.

-Efficiently managed accounts receivable, ensuring timely and accurate billing and collections

-Accurately processed payroll for [7] employees on a weekly basis, ensuring timely and correct payments.

-Managed end-to-end billing processes for multiple commercial projects, ensuring accuracy and timeliness of invoicing.

-Monitored project budgets and expenditures, providing detailed financial reports to senior management.

-Prepared and reviewed audit documentation, identifying and rectifying discrepancies to maintain accuracy.

Experience

- Proven experience in an administrative role, preferably as a Business Administrator

- QuickBooks Desktop experience (+4 years)

- Procore Billing (+2 years)

- Elation Payroll experience (+2 years)

-Proficiency in preparing and submitting quarterly IRS Form 941 for accurate payroll tax reporting.                             

-Proficiency in preparing and submitting sales tax for accurate payroll tax reporting
- Strong background in office management, including managing front desk operations and coordinating events
- Experience in supervising staff and developing training programs
- Knowledge of human resources principles and practices
- Familiarity with vendor management and the ability to negotiate contracts
- Excellent administrative and organizational skills
- Ability to communicate effectively with colleagues, clients, and vendors
- High school diploma or equivalent required; a bachelor's degree in business administration or a related field is preferred
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
- Ability to work in a fast-paced environment and prioritize tasks effectively
- Certification in administrative roles, such as the Certified Administrative Professional (CAP) or the Certified Management Assistant (CMA), is an asset
