Job DescriptionJob Description

New Tech Global is currently seeking a Purchasing Administrative Assistant for a contract role in Houston, TX.

Overview

  • Processes PO/non-PO invoices through the system with correct coding.
  • Invoice escalation, resolution, and investigation in case of discrepancies.
  • Verifies invoices for proper receiving approval, purchasing authority and appropriate supporting documentation, including purchase order.
  • Monitors purchase order balances for invoices in process and effectively communicates with stakeholders when those orders need action taken to facilitate 3-way matching.
  • Handles vendor calls and vendor emails.
  • Helps maintain invoice holding Report.


Qualifications

  • Strong computer skills, problem solving skills, flexibility, excellent interpersonal skills and the ability to work well with all levels of the organization as well as outside guests and vendors.
  • Ensure a safe working environment during all operations and tasks.
  • Take part in office safety initiatives.
  • Field phone calls, distribute mail, and provide administrative support to departments.
  • Maintain and complete expense reports.
  • Periodic review of vendor statements for outstanding invoices/balances.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and direction in a dynamic work environment.
  • High School Diploma or equivalent; Associates degree a plus
  • Basic knowledge of the procurement and invoicing cycle of an operation.
  • 2-5 years experience in an administrative role and/or office setting.
  • Proficiency in MS Office suite of products; Word, Excel, PowerPoint.
  • Ability to multi-task; prioritize daily work assignments and manage time wisely.
  • Strong organizational skills and attention to detail.
  • Ability to respond appropriately to sensitive situations and information.
  • Maintain confidentiality.
  • Exceptional interpersonal and customer service skills including the ability to work well with both internal and external customers.
  • Ability to work a weekly hybrid schedule of 4 days in office/1 day remote.
