POSTION SUMMARY

The Front Office Assistant is responsible for overseeing greeting and welcoming visitors while ensuring that the reception area and visitors conference rooms are well-kept and maintained. This role assists with employee engagement and onboarding activities and HR/Admin projects as needed.

It is critical this person have strong communication skills, understand the importance of establishing incredible customer and employee experiences and be comfortable acting as a trusted liaison for employees and customers for the supported organizations.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Welcome and greet visitors.
  • Handle and transfer incoming telephone calls to the proper individuals as needed.
  • Manage the relationship with the building property management office and communicates the team of any building announcements.
  • Act as a liaison on behalf of Human Resources, Operations and Marketing to welcome new employees by preparing stationary, ensure building and office access, track and set up new equipment, and more.
  • Assist in set up for meeting rooms for business needs.
  • Orders and maintain inventory of office supplies.
  • Coordinates logistics for out of town visitors such as booking a hotel room, taxi, order lunch and more.
  • Collects the mail from the mailbox and assist with the inter-office mailing.
  • Manage calendars for managers and the conference room.
  • Manage the relationship with external vendors including catering companies for on-site meetings and events, office cleaning and more.
  • Maintain the breakroom organization and cleanliness.

MINIMUM QUALIFICATIONS

  • Strong verbal and communication skills.
  • Superb customer service skills.
  • Highly organized with flawless attention to detail.
  • Good at prioritizing and meeting deadlines.
  • Strong team orientation with focus on team success.
  • Willing and able to support other team members when needed.
  • Self-starter, ability to manage multiple projects on tight deadlines and make some decisions independently.
  • Proficient computer skills including Word and Excel.
  • Knowledge of ADP or HRIS systems preferred but not required.
