Education: High school diploma or equivalent required

Experience: One to two years of office experience required. Basic knowledge of property management and tenant relations preferred

 

Working Hours:

Up to 29 hours per week with Mondays and Fridays being full days. Other days can be flexible.

 

Skills:

· Proficient computer skills

· Effective communication skills (oral and written)

· Ability to follow verbal and written instructions

· Resolution skills to demonstrate effective problem solving

· Strong organizational and time management skills to prioritize workload

· Attention to detail and accuracy and ability to multitask

· Ability to work independently

· Ability to have open and respectful communication with coworkers and tenants

 

Additional Requirements:

· Valid Driver’s license

· Operational smart phone with cellular data plan (phone stipend available)

· Operational vehicle

Working Conditions:

· Prolonged periods sitting at a desk and working on a computer

· Must be able to lift up to 15lbs at times

· Must be able to traverse a variety of properties with stairs and in a variety of weather

 

Summary:

List, market and lease house and apartments. Handle a variety of issues and requests from current residents. Perform a variety of administrative tasks to keep the front office running smoothly. The following categories are in order of priority and include an estimated percentage of the total time you will spend on them.

 

Essential Responsibilities:

 

Current Resident Liaison (15%):

· Inform tenants of any news, changes to rental agreements or upcoming property issues.

· Collect and receipt rent payments

· Take maintenance requests and ask some clarifying questions.

· Mediate disputes between residents and between Midtowne and residents. Record details in notes or send infraction letters

· Communicate about maintenance issues and other events of note to current residents via notice, email and text

Leasing Agent Tasks (25%):

· Take marketing pictures and list available units on a variety of online platforms.

· Communicate and follow up with leads and potential residents about available units.

· Confirm rental applications data by performing background checks, landlord references, credit checks and other inquiries to ensure prospective tenants are qualified.

· Mark progress made on application checklist. Select applications when completed or get help from supervisor

· Prepare and review leasing documents with new tenants.

· Collect and receipt rent payments, security deposits and application fees.

Front Office Administrative Tasks (20%):

· Manage new and current tenant files.

· Make deposits from rent and other receipts at the bank

· Keep building directories, call boxes and mailboxes updated by creating appropriate occupied and vacant labels.

· Keep front office organized and tidy including making new copies of forms when running low

· Maintain and make new property files

· Other duties as assigned.

Coordinate IT (15%)

· Manage building’s secure key fob system.

· Manage and review security cameras for reported incidents.

· Coordinate with managed IT company to resolve other technology problems

Project Work and Other Administrative Tasks (25%):

· Update and manage utility accounts.

· Submit applications for income-based tax assessment when property is bought or sold at the Allen County Assessor’s office.

· Register Midtowne as property manager for new properties with Neighborhood Code.

· Update owner/agent agreement for properties bought and sold. Add or remove properties from software.

· Collect coin laundry income from the buildings and deposit in the bank.

· Other duties as assigned.
