Position Summary:
The Healthcare Compliance Specialist will play a vital role in ensuring that our healthcare staffing processes are compliant with all regulatory standards. You will be responsible for managing the credentialing and compliance processes for new hires, ensuring that all onboarding documentation is accurate and up to date. Your attention to detail and organizational skills will be crucial in maintaining the integrity and confidentiality of employee records, while also providing excellent customer service to internal and external stakeholders.

Duties & Responsibilities:

  • Onboarding Management: Process all onboarding paperwork for new hires, ensuring that all documentation is accurate and complete.
  • Fingerprinting & Clearances: Assist with fingerprinting new hires and track various clearances, including PA Child Abuse, NJ Child Abuse, PA Criminal History, and FBI checks.
  • Personnel File Management: Organize and verify new employee personnel files, ensuring all required documentation, including I-9, W-4, disclosure forms, job description sign-offs, and employment references, is accurate and up to date.
  • Compliance Audits: Assist with surveys and audits related to personnel files, ensuring compliance with all relevant regulations.
  • Form I-9 Management: Ensure that Form I-9s are filed correctly for both active and terminated employees.
  • Data Management: Maintain up-to-date and accurate data for off-site files, tracking medical appointments and compliance-related information.
  • Customer Service: Provide prompt and professional customer service to internal contacts and candidates, answering inquiries related to the onboarding process, paperwork requirements, and background checks.
  • Issue Resolution: Identify and address potential onboarding issues, collaborating with management and recruiters to resolve concerns and ensure a seamless onboarding experience.
  • Liaison Role: Act as a liaison between A & Associates and affiliate medical centers and training departments to facilitate a smooth onboarding process.
  • File Coordination: Coordinate and complete new hire files in a timely manner, ensuring that all compliance standards are met.
  • Confidentiality: Uphold the confidentiality of all employee records and sensitive information.

Qualifications & Skills:

  • Education: High School Diploma required; Associate or Bachelor’s degree preferred.
  • Experience: Minimum of 2 years of experience in Human Resources, with a focus on recruitment, onboarding, and employment compliance, preferably within a staffing agency environment.
  • Technical Skills: Strong computer skills, with proficiency in MS Word, Excel, and Outlook; experience with applicant tracking systems is preferred.
  • Organization: Highly organized with a keen attention to detail.
  • Driver's License: Must have a valid driver’s license.
