Job DescriptionJob Description

We are seeking a dedicated and organized Administrative Support Professional to assist with managing and coordinating of training programs. This role is critical in ensuring the seamless planning, implementation, and evaluation of training initiatives. The ideal candidate should have a strong understanding of training principles, exceptional organizational skills, and a passion for developing employees' skills and knowledge.

Key Responsibilities:

1. Program Logistics

● Supporting program team with scheduling meetings and events, including managing invitations, preparing materials, and providing on-site support

● Coordinate photography for events, classes, student success stories, and general storytelling

● Participating in fall recruitment and outreach events

● Participate in bi-weekly team meetings

2. Planning and Research

● Support special projects carried out by the team

● Research topics include apprenticeships, EarnToLearn models, healthcare careers pathways, retention strategies

● Maintain and track project timelines and deliverables, updating relevant data and records

● Document current practices for the creation of standard operating procedures

● Support the development of the 2025 work plan

3. Data Entry/Reporting

● Maintain accurate records of training attendance, materials, evaluations, and completion certificates

● Enter service records in Salesforce for program participants as provided by the team

● Run weekly Salesforce reports (applications, enrollments, employment, support services) for team review

● Collaborate with the team to review program data regularly explore new trends and make data-driven decisions to enhance programming

● Support grant writing/reporting activities

4. Invoice Processing

● Receive invoices

● Create and submit purchase request forms for vendor payments

● Log monthly program transactions in the database

● Ensure compliance with financial policies and regulations

5. Student Engagement:

● Manage the Hire Local email accounts and field questions about the program

● Track and document student attendance, progress including achievement of training goals

● Participate in fall recruitment events and support the team as needed

Qualifications:

● Bachelor's degree in a related field or equivalent experience.

● At least 3-5 years of experience and proven experience in training coordination or a related role.

● Strong organizational and project management skills.

● Excellent communication and presentation skills.

● Empathy and the ability to motivate and support participants.

● Proficiency with Microsoft Office

● Ability to work collaboratively with a diverse range of stakeholders.
