Job Summary:

Primarily responsible for the of all administrative and support services roles & responsibilities. Actively work to implement strategies and customer relations in a manner that optimum results are achieved in line with resources of the agency.

JOB DUTIES:

1.      Respond to customer queries in a timely and accurate way, via phone or email. Daily review of the Agency email account(s) to further information to Administrator or President that needed attention.

2.      Collect and Record persons served payments as at when due.

3.      Opening & closing of Agency during service days.

4.      Preparation of Admission & Orientation packages.

5.      Perform all administrative and support functions as needed in the agency. Assist with document preparations.

6.      Make sure all utilities bills are paid on time and when due.

7.      Update our persons served information in Methasoft and collect service fees from customers and send weekly OMT logs to the State.

8.      Work with other systems, such as Abbott Lab, to ensure toxicology samples are sent out 2-3 times weekly and reports are printed and shared with individual Counsellors.

9.      Review all holds and actively work to support clinical & medical staff as needed.

10.  Treat people served with Respect & Dignity. Participate in program outreach.

11.  Perform billing responsibility, as needed, when the Billing Specialist is absent.

12.  Apply Crisis management skills in all interaction within the Agency.

13.  Relate with people served on an individual basis adapting and modifying personal behavior appropriately in response to patient’s behavior.

14.  Acts as Liaison between Counselors and people served.

15.  Preparation & sending the O.M.T weekly log.

16.  Weekly sending of the Overdose Report to state
