SUMMARY

Administrative Services Co-op is seeking an Administrative Assistant to provide support for our Risk Management team in Los Angeles. This position will provide administrative support for both the Director and Manager of Risk Management. The successful candidate will be self-motivated, quick-thinking, flexible, and able to always juggle multiple and diverse responsibilities with a strong emphasis on organization and an unwavering attention-to-detail. This is a demanding and fast-moving position that requires someone who can exercise good judgment and significant initiative.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Coordinates the following duties:

  • General office support for the Claims Department
  • Filing legal documents
  • Researching court files and documents for relevant issues
  • Sets up, maintains, and locates claim files
  • Conducts computer data entry and processing; documents claim files in the system correctly
  • Prepares spreadsheets and documents in software applications
  • Answers and initiates telephone calls as required
  • Sends overnight and messenger outgoing mail
  • Managing and communicating status reports to management and external partners
  • Responsible for composing and mailing all claim letters using departmental guidelines.
  • Prepares all new matter paperwork to open cases
  • Assists with creation, preparation and maintenance of claims information and status updates for various open matters
  • Coordinates conferences, meetings, appointments, and prepares necessary materials as needed, tracks invites and RSVP’s to department events
  • Coordinates travel arrangements by securing air, hotel, and car reservations
  • Participates as needed in special department projects
  • Tracks the status of all matters and prepares client authorizations upon request

EDUCATION and/or EXPERIENCE

Fifth year college or university program certificate; or one to two years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read, analyze, and interpret the most complex documents.  Ability to respond effectively to the most sensitive inquiries or complaints.  Ability to write speeches and articles using original or innovative techniques or style.  Ability to make effective and persuasive speeches and presentations on controversial or complex topics to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.  Ability to apply concepts of basic algebra.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to negotiate to provide the best outcomes.
