Our client, a well-respected DC Based Law Firm, is seeking an administrative assistant to assist the HR department. The ideal candidate would be very organized, tech savvy and will help keep track of all the catering and other related invoices and provide general administrative support to the HR department.  Candidates must be flexible for backup receptionist duties that come up occasionally.

The administrative assistant provides administrative support to ensure efficient operation of the office. The role involves a variety of tasks including answering and directing phone calls, organizing, and scheduling appointments, managing documents, and providing support to staff and visitors.

Responsibilities:

  1. Answering and Directing Phone Calls: Receive and direct incoming calls to appropriate personnel. Take and relay messages as necessary.
  2. Managing Correspondence: Handle incoming and outgoing mail and email. Draft, proofread, and edit correspondence and other documents.
  3. Scheduling and Coordinating: Coordinate appointments and meetings. Maintain calendars and schedules for executives or other staff members.
  4. Document Management: Organize and maintain physical and electronic files and records. Ensure accuracy and completeness of documentation.
  5. Data Entry: Enter and update information into databases, spreadsheets, and other systems as required.
  6. Office Supply Management: Monitor and replenish office supplies. Anticipate office needs and place orders accordingly.
  7. Travel Arrangements: Assist in making travel arrangements for staff members, including booking flights, hotels, and transportation.
  8. Meeting Support: Prepare meeting agendas and materials. Attend meetings and take minutes as required.
  9. Customer Service: Provide support to customers, clients, or visitors as needed. Ensure a positive experience for all stakeholders.
  10. General Administrative Support: Perform various administrative tasks such as filing, photocopying, and scanning documents. Assist with special projects as assigned.

Requirements:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy.
  • Ability to prioritize tasks and meet deadlines.
  • Discretion and confidentiality in handling sensitive information.
  • Familiarity with office equipment such as printers, scanners, and fax machines.
  • Flexibility and adaptability to changing priorities and environments.
