We are looking for a Full-Time, Accounts Payable Supervisor responsible for overseeing the accounts payable process to ensure accurate and timely payment of invoices. This role focuses on supervising the end-to-end process, ensuring compliance with company policies, and improving the efficiency of the accounts payable workflow. The Accounts Payable Supervisor does not directly manage other accounts payable clerks but ensures that the process they follow is robust and efficient.

KEY RESPONSIBILITIES:

  • Process Oversight:
    • Supervise and manage the entire accounts payable process, ensuring timely and accurate processing of invoices and payments.
    • Develop, implement, and maintain systems, procedures, and policies to ensure adherence to company guidelines and best practices.
  • Invoice Management:
    • Make sure each invoice is approved by the appropriate manager before entering into the system for payment or follow a 3-way matching system for inventory items.
    • Review invoices for accuracy, appropriate documentation, and proper coding.
    • Ensure timely resolution of discrepancies and disputes with vendors and internal departments.
    • Oversee the preparation of payment runs, including checks, ACH, and wire transfers.
  • Compliance and Reporting:
    • Ensure compliance with company policies, internal controls, and regulatory requirements.
    • Prepare and analyze accounts payable reports, including aging reports, and provide management insights.
    • Coordinate with the finance team to ensure accurate month-end and year-end closing.
  • Process Improvement:
    • Identify areas for process improvement and implement changes to increase efficiency and accuracy.
    • Stay updated with industry best practices and technological advancements to enhance the accounts payable function.
    • Train and educate staff on new procedures and systems.
  • Vendor Relations:
    • Manage and maintain positive relationships with vendors, ensuring clear communication and prompt resolution of issues.
    • Oversee the vendor setup and maintenance process to ensure accuracy and completeness.
  • System Management:
    • Oversee the accounts payable system, ensuring data integrity and system efficiency.
    • Collaborate with IT and other departments to implement system upgrades and enhancements.
  • Qualifications:
    • Bachelor’s degree in Accounting, Finance, or a related field.
    • Minimum of 5 years of experience in accounts payable.
    • Strong understanding of accounts payable processes and accounting principles.
    • Proficiency in accounting software and Microsoft Office Suite, particularly Excel.
    • Excellent analytical, organizational, and problem-solving skills.
    • Strong communication and interpersonal skills.
    • Ability to work independently and as part of a team.
    • Detail-oriented with a high degree of accuracy.
