Summary

The Purchasing Coordinator is responsible for in handling orders, including project tracking and customer/factory support. The role will provide customers a seamless and reliable experience at orders.

This role will work closely with our customers and internal overseas offices to ensure project orders are successful. Additionally, this role will provide updates to customers and required departments throughout the project lifecycle and milestones.

A key to this role’s success is the ability to communicate to customers and navigate an order to manufacturers—coordinate and deliver projects on time. This role is vital to engaging with our customers and manufacturers—beauty brands and factories—and helping them execute on their needs.

Duties and Responsibilities

-Ability to work independently to maneuver a project throughout its lifecycle – know all aspects of the purchase order process after customer issues (confirmation of order, issuance of order, check in, ship out, etc.)

-Check incoming purchase orders and confirm pricing, lead times, and/or estimated completion dates with customer and manufacturing factory

-Lead maneuvering of purchase order throughout all required departments: Accounting, Logistics, Sales, Management

-Handle minor changes, including minor print changes on both customer and factory side

-Able to review customers artwork and point out any necessary changes; request for print proof

-Ability to cultivate and manage relationships by briefing factories and providing important feedback to customers.

-Maintain and organize component specifications and inspection specifications

-Troubleshoot and respond appropriately to customer issues under advisement of Business Development/Sales Managers

-Responsible for the appropriate and timely completion of customer correspondence and factory correspondence

-Responsible for the appropriate and timely completion of administrative tasks as requested, including but not limited to software input

-Review weekly open order report to check in with status of completion dates

-Handles any delays in order with factory and customer, under advisement of sales

-Review final packaging and overall quality/aesthetic with QC team to inspect final goods before shipment

- Check in with customer on final shipment

Job Requirements

  • A strong aptitude and passion for the beauty industry, beauty products, skin health and artistry
  • Time tracking experience strongly desired
  • Proficient in Microsoft Office (Word, PowerPoint and Excel, Outlook)
