Position Summary:

The Procurement Coordinator plays a pivotal role in overseeing order management, ensuring a smooth and dependable experience for clients. This position requires close collaboration with clients and internal international teams to facilitate successful project orders, providing regular updates throughout the project timeline and achieving critical milestones. The effectiveness in this role hinges on strong communication skills and the ability to coordinate and deliver projects punctually, engaging with beauty brands, manufacturers, and various stakeholders.

Key Responsibilities:

  • Independently oversee projects from initiation to completion, including order confirmation, processing, and shipping.
  • Evaluate incoming purchase orders, confirming pricing, lead times, and estimated completion dates with clients and production facilities.
  • Coordinate purchase orders across various departments: Finance, Logistics, Sales, and Management.
  • Manage minor modifications to orders and review client artwork, recommending necessary adjustments.
  • Develop and maintain relationships by briefing manufacturers and providing constructive feedback to clients.
  • Organize and maintain component and inspection specifications.
  • Promptly troubleshoot and resolve client issues.
  • Complete internal and external communications and administrative tasks efficiently.
  • Review weekly open order reports and provide updates on completion status.
  • Address any delays in orders with manufacturers and clients.
  • Inspect final packaging and quality/aesthetic with the Quality Control team prior to shipment.
  • Confirm final shipping details with clients.

Qualifications:

  • Demonstrated interest and enthusiasm for the beauty industry, including beauty products, skin health, and artistry.
  • Experience with time management systems is highly desirable.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
