We are seeking a highly organized and detail-oriented Administrative Assistant to support the day-to-day operations of our electronic security company in Florida. The ideal candidate will be responsible for providing administrative and clerical support to ensure the smooth functioning of our office, as well as assisting with special services, including running personal errands for the company and delivering exceptional customer service. This role plays a crucial part in maintaining efficient office processes and providing specialized assistance to our clients.

Key Responsibilities:

  1. Office Management:

    • Greet and assist visitors and clients in a friendly and professional manner.
    • Maintain a well-organized and clean office environment.
    • Manage incoming and outgoing mail and packages.
  2. Data Entry and Documentation:

    • Input data into various electronic systems and maintain accurate records.
    • Create and update reports, spreadsheets, and documents as needed.
    • Assist with filing and record-keeping to ensure documents are easily accessible.
  3. Customer Service and Special Services:

    • Respond to customer inquiries and concerns via phone, email, and in-person.
    • Schedule service appointments, including special services, and dispatch technicians as needed.
    • Provide exceptional customer service, including addressing specialized client needs and requirements.
  4. Personal Errands:

    • Run personal errands on behalf of the company, such as picking up supplies or documents.
    • Manage various tasks outside of the office as needed.
  5. Administrative Support:

    • Assist with scheduling meetings, managing calendars, and coordinating appointments.
    • Order and maintain office supplies and equipment.
    • Assist with invoice processing and financial record-keeping.
  6. Communication:

    • Manage and respond to general inquiries and route messages to the appropriate team members.
    • Assist with drafting and proofreading correspondence and documents.
    • Maintain confidentiality of sensitive information.
  7. Collaboration:

    • Work closely with other team members to ensure efficient operations.
    • Provide support for special projects and tasks as assigned, including those related to our special services.

Qualifications:

  • High school diploma or equivalent; some college coursework is a plus.
  • Prior experience in an administrative or office support role is preferred.
  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel, and Outlook).
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational abilities.
  • Ability to multitask and prioritize tasks effectively.
  • Customer-focused with a professional and welcoming demeanor.
  • Familiarity with electronic security systems or related industries is a bonus.
