Dental Office Manager

Responsibilities
Along with the administration and clinical team members, opening the office and making sure that all team members perform delegated opening tasks.

Leading Morning Huddles, Meetings, and Team Trainings and ensuring each team member presents their responsibilities (Scheduling coordinator, insurance verifications, clinical team members)

Providing superior customer service, demonstrating responsiveness and sensitivity to patient “chief concerns” with urgency to utilize office systems to minimize (and if needed) resolve any patient dissatisfaction by patient needs, company policies and procedures, government regulations, and dental board standards.

Daily non-clinical office operations, including revenue, profitability, non-clinical team selection, performance, development, and other business-related functions as delegated by a dentist.

Greet and check in patients in a friendly manner.

Assisting patients to complete doctor-prescribed treatment.

Collect co-payments and verify insurance coverage.

Schedule and confirm patient appointments.

Prepare new patient charts neatly and accurately, including collecting necessary referrals and previous records.

Responding to patient billing or financial inquiries, directing to appropriate departments, as necessary.

Collect and post payments and record receipts.

Balancing and verification of nightly deposits via cash, checks, and credit card processing.

Daily/weekly billing statements as insurance payments are received and posted in the ledger with remaining balances.

Monthly and quarterly data tracking, goal verifications, and planning.

End of Month A/R verification and billing.

End-of-year verifications and statistics, including A/R clean-up and fee schedule increases.

Set up and execute patient consults via phone/text/email/in-person and backed by written documentation to ensure patients understand Doctor prescribed treatment plans;

conducts patient chart audits, performs handoffs, conducts consults according to company policies, enters and updates patient treatment plans at the direction of the treating Doctor using the company operational system,

Follow up with patients to schedule recommended treatment.

Work with the Doctor and patient to ensure the patient completes the Doctor prescribed treatment plan;

uncover and remove the patient's barriers to completing treatment; alert the Doctor when the patient has clinical questions; educate the patient regarding insurance benefits and affordable payment options including third-party patient financing;

Follow up with the patient during subsequent patient visits to review completed treatment and schedule appointments for open treatment.

Minimum Education and Experience
3-5 years experience in a sales, dental, or front desk environment, some combination of management and sales preferred. Some clinical knowledge or experience is a plus.
