Our client, a well-established general contractor, is seeking a friendly and professional Bilingual Receptionist fluent in both Spanish and English. The ideal candidate will be the first point of contact for clients and visitors, providing exceptional customer service while managing front desk operations efficiently.

Key Responsibilities:

  1. Front Desk Management:

    • Greet and welcome visitors, clients, and employees with a positive and friendly attitude.
    • Answer, screen, and direct incoming phone calls in both Spanish and English.
    • Manage and distribute incoming mail, packages, and deliveries.
  2. Customer Service:

    • Serve as the first point of contact for client inquiries, providing information about services and assisting with general questions.
    • Handle customer complaints or issues courteously and escalate them to the appropriate department when necessary.
    • Maintain a professional and welcoming reception area.
  3. Administrative Support:

    • Assist with administrative tasks such as filing, data entry, and maintaining records in both English and Spanish.
    • Schedule and coordinate appointments, meetings, and conference calls for team members.
    • Prepare and format documents, presentations, and correspondence as needed.
  4. Translation & Communication:

    • Provide verbal and written translations between English and Spanish for internal teams and clients.
    • Assist in translating company documents, emails, and marketing materials as required.
  5. Office Coordination:

    • Maintain office supplies and coordinate orders to ensure the office runs smoothly.
    • Assist in organizing company events, meetings, and client visits.
    • Support the Office Manager with various tasks and projects as assigned.
  6. Data Entry & Record Keeping:

    • Input and update client information, project details, and other data into company databases.
    • Maintain accurate and up-to-date records for all incoming and outgoing communications.

Qualifications:

  • Education: High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Experience: Minimum of 1-2 years of receptionist or administrative experience, preferably in the construction or related industry.
  • Language Skills: Fluent in both Spanish and English, with strong verbal and written communication skills in both languages.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Familiarity with office equipment (e.g., multi-line phone systems, copiers, fax machines).
  • Soft Skills:
    • Strong interpersonal skills and a customer-focused approach.
    • Excellent organizational and multitasking abilities.
    • Attention to detail and problem-solving skills.
    • Ability to work independently and as part of a team.
