This position is responsible for ensuring the smooth day-to-day operations of our construction office.

The ideal candidate will have a background in office management and possess excellent organizational and communication skills.

 

Responsibilities
- Coordinate and oversee construction projects from start to finish
- Manage project budgets, timelines, and resources effectively
- Communicate with clients, subcontractors, and team members to ensure project success
- Review project designs, plans, and specifications
- Resolve any issues or delays that may arise during construction

 

General Office Management

  • Effectively use a computer (Windows OS) and various applications (Excel, Word, Google Docs and Sheets)
  • Log into and navigate various online accounts
  • Organize digital images, files, and folders
  • Manage filing system and paperwork
  • Process bill payments and invoices

Customer Communications

  • Handle customer inquiries and messages via phone and email
  • Answer questions, take messages, and follow up with customers as needed
  • Establish and build relationships with customers to understand their project needs

Customer Job Administration

  • Set up new customer jobs from inquiries
  • Prepare and send estimates
  • Process material deposit invoices and track payments
  • Order materials as required for jobs

 

Experience

- Strong organizational and administrative skills
- Excellent communication and interpersonal abilities
- Knowledge of QuickBooks for financial tracking
- Ability to manage schedules efficiently
- Familiarity with payroll processes is a plus
