Administration Assistant

Strickland and Son’s Excavation is looking for an experienced and enthusiastic business administrator to join our growing team. This is an exciting opportunity to be part of a high performing team in the construction industry This role will support our managers and team along with data entry, accounts receivable, payable, new hire onboarding and job support.
The ideal candidate is positive, service minded and will need to have strong planning, organizational and time management skills, along with a strong ability to work independently and collaboratively. Must have great attention to detail. The successful candidate will also be a critical thinker with initiative who anticipates business needs, demonstrates flexibility and calm under pressure. Has a growth mindset and is hungry to learn. Strong verbal and written communication skills are also essential for success in this role. This is an onsite role, Monday through Friday 8:00am-4:30pm.
Responsibilities include, but are not limited to:
• Welcome and provide general support to all visitors
• Answer, screen and direct phone calls
• Receives/sends all mail/packages and distributes to office staff
• Fax, copy and scan documents
• Manage filing of hard and soft copies of documents
• Manage stock of office supplies and research new deals and suppliers
• Manage email, correspondence memos, letters, faxes and forms
• Keeps L&I posters up to date
• Keeps City Licenses current
• Complete credit applications for vendors as needed
• Update and maintain office policies and procedures
• Create new hire folders
• Update and hand out job applications for open positions
• Files safety meeting minutes and maintains files
• Schedule meetings
• Types office meeting minutes and maintains file
• Coordinate conference calls and meetings including invitations and scheduling.
• Keeps fuel cards up to date and orders new cards when needed
• Orders new tabs and tonnage with shop foreman when needed
• Create full files or repair manuals for vehicles and equipment
• US DOT program and stickers for vehicles
• Maintain Good to Go pass records
• Provide exceptional customer service and drive team culture by maintaining a positive work environment
• Meeting and event coordination: planning and setup for general meetings, morale events, individually and with peers
• Ensure compliance of the company’s operational policies and procedures
• May require occasional lifting
Qualifications, key competencies, and capabilities:
• High School diploma or equivalent
• 2+ years of proven relevant work experience in business administration and customer or service focused roles
• Proficiency in MS Office: Excel, Microsoft Word
• Data Entry
• Organization, attention to detail and problem-solving skills
• Strong written and verbal communication
• Excellent time management skills and the ability to prioritize work
• Excellent follow-up
• Ability to work independently on projects from start to finish.
• Knowledge of office management systems and procedures
• Strong communication, verbal and written, and interpersonal skills, tact, diplomacy, integrity, negotiation, and professionalism
• A great attitude and positive approach to people and tasks
• Strong organizational skills with the ability to prioritize among multiple projects
• Achieve results with a high degree of accuracy and attention to detail
• Proven track record of accountability and reliability
• Ability to make timely decisions, prioritize, and exercise sound judgment with appropriate urgency in situations that require a quick response
• Maintain utmost confidentiality with sensitive and personal information
• Background in construction industry is a plus
