Executive Assistant- MUST BE BILINGUAL IN SPANISH (verbal and written proficiency) 

 Full Time Position- Fully in office Monday – Friday 9AM – 5PM

Major Property Management company is seeking an Executive Assistant to support the Director of Leasing and Compliance & Senior Manager of Leasing and Compliance. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

Responsibilities- Duties include among other responsibilities

  •   Provide administrative support to Director of Leasing and Compliance & Senior Compliance Manager, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes.
  •  Plan, organize, and schedule company meetings in the office, off-site, and via videoconference.
  •  Ensures that deadlines are met and adapts to changing priorities.
  •  Presents a positive and professional image for the organization.
  •  Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
  •  Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
  •  Maintain professionalism and strict confidentiality with all materials.

Required skills and qualifications

  •  Expert Spanish level proficiency both spoken and written.
  • Four or more years of experience in an administrative role reporting directly to upper management.
  • Excellent written and verbal communication skills.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  •  Proficiency with Microsoft Office Suite and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and its employees.
