JOB SUMMARY

Under the supervision of the Vice President and President, the Office Manager is responsible for managing and maintaining the day-to-day operations of TCNJFT Local 2364’s office.

The TCNJ Federation of Teachers - a local chapter of the American Federation of Teachers - is the labor union for faculty, professional staff, and librarians based at The College of New Jersey.

Please note that this position is not a state job and the successful candidate is not considered an employee of The College of New Jersey.

MAJOR DUTIES AND RESPONSIBILITIES

  • Maintain the TCNJFT Local 2364 office, including but not limited to: inventory of office supplies, office equipment, arranging tech. support, update/order stationary, business cards, and other paper products.
  • Arrange events, meetings and activities on or off campus and prepare associated materials (meeting minutes, agenda, flyers).
  • Maintain the TCNJFT Local 2364’s archives – both paper and electronic files.
  • Liaise with statewide and national union staff as necessary.
  • In conjunction with the Local’s President, coordinate, distribute, and tally TCNJFT Local 2364’s Career Development Committee elections.
  • Maintain membership records (both internally and on the AFT National System), email lists, and website as directed.
  • Monthly back up all electronic files and data of the TCNJFT Local 2364 on external hard drive.
  • Liaise with The College of New Jersey’s Human Resources Department to obtain bargaining unit information lists, review for accuracy and request special lists as needed.
  • Respond to member inquiries via phone, email, postal mail, or in-person and maintain a transaction log that includes the member’s name, date of call or office visit, and any other information related to the matter.
  • Participate in member outreach, assemble and provide union orientation packets to new members.
  • Assist Officers and Executive Board Members, as requested and as necessary.
  • Attend and participate in meetings and events such as the General Union Meetings, Executive Board Meetings, and Committee meetings.
  • Inform and remind Officers of upcoming events, including meetings, workshops, and conferences of the College Council, AFT-New Jersey, and AFT National.
  • Review/audit The College of New Jersey and outside vendor bills, resolve any outstanding issues related to bills, and review/audit Officer and Executive Board expense report submissions. Prepare all office expense forms for the Treasurer’s review and obtain necessary approvals for payment submission to the Treasurer.
  • Review TCNJ payroll department dues deduction listings for accuracy. Liaise with TCNJ Human Resources Department regarding any necessary corrections.
  • Work with Treasurer to ensure quarterly tax submission to the State of New Jersey and the US Internal Revenue Service, maintain tax files, and research financial records as needed (may require contact with accountant services).
  • Prepare documents and assist with internal and external audits and financial reviews.
  • Secure worker’s compensation insurance for the Office Manager and Officers of TCNJFT Local 2364 and prepare associated documents concerning insurance audits.
  • When a new Treasurer is elected, assist the new Treasurer in orientation and training for the position.
  • Attend professional development workshops, training, or committee meetings as directed by the President, Vice President, and Treasurer.
  • Address additional administrative and organizing needs as they arise.

Minimum Qualifications

  • High school diploma

  • At least two years of experience in a related administrative assistant, bookkeeping and/or office manager position

  • Strong computer skills, specifically with Microsoft Office and Google suite products, with the ability and willingness to learn new applications

  • Excellent communication and interpersonal skills

  • Excellent time management skills and self-motivating with the ability to set goals and work independently, or on a team

  • Enthusiasm for labor unions and organizing

  • Detail-oriented with a high degree of accuracy for data management and in correspondence

  • Sensitive to the need for confidentiality

  • Ability to understand, analyze, interpret and apply established law, regulations, policies, procedures, precedents and guidelines

  • Demonstrated understanding of diverse cultures and backgrounds

 

Preferred Qualifications

  • Experience with QuickBooks

  • 3-5 years of relevant work experience

  • Prior experience with unions or organized labor

  • Prior experience working in higher education

  • Experience managing databases
