Job DescriptionJob Description

·         Provide administrative support to the Director of Facilities and Grounds.

·         Create necessary letters, memos, reports, and other materials under the director's guidance.

·         Handle emails and phone calls that do not require the Director's immediate attention.

·         Assist the Director of Facilities and Grounds with recruiting and hiring of facilities staff.

·         Assist with supervising maintenance, custodial, and groundskeeping staff.

·         Act as a bridge between buildings, departments, and staff to coordinate repair, and services requests for custodial and maintenance                personnel.

·         Manage, and prioritize work order requests.

·         Manage daily, and weekly schedules, activities, absences, and overtime for custodial, maintenance, and groundskeeping staff,                        including approving timesheets and time-off requests.

·         Assist with coordinating district and athletic events, processing facility rental requests through the Facilities Request System, and                    ensuring timely invoicing for rentals.

·         Works closely with Coaches and Athletic Director to ensure athletic fields are ready for play.

·         Assist with the preparation, setup, and dismantling of meetings and workshops.

·         Supervise access, use, and security of all school district facilities, including scheduling automated door unlocks for events.

·         Acting as a liaison between the Brown Deer Recreation Department Programming and the School District of Brown Deer.

·         Acting as a liaison between the YMCA Programming and the School District of Brown Deer.

·         Handling the programming and distribution of staff FOBs and keys, along with end-of-year collection and audit of building access                    devices.

·         Assisting Human Resources in onboarding new staff.

·         Verify and approve all District Vehicle drivers.

·         Order and manage inventory of building cleaning supplies and custodian uniforms.

·         Ordering district supplies for general use as well as paper and toner for the District Office.

·         Prepare purchase orders, billing, and processing invoices for department purchases.

·         Responsible for updating yearly Office of School Safety Documents.

·         Collaborate with Director to update Facilities & Grounds handbooks and Custodial Routes

·         Serve as a member of the District Safety Committee.

 

 

·         Must be able to lift 30 lbs. and perform physical work as needed.

·         Serve as backup for the Director of Facilities and Grounds in cases of emergencies.
