Position Overview: We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will have excellent organizational and communication skills, the ability to multitask, and a friendly, professional demeanor. This role will support various administrative functions to ensure smooth operations and high-quality client service in both real estate and property management activities.

Key Responsibilities:

  • Client Communication: Serve as the first point of contact for clients via phone, email, and in-person visits. Ensure all inquiries are handled promptly and professionally.
  • Document Management: Prepare, review, and organize real estate and property management documents, contracts, and agreements. Ensure all documents are accurately completed and filed.
  • Marketing Support: Assist in creating and distributing marketing materials, including flyers, brochures, social media posts, and email campaigns. Maintain and update the company's website and social media accounts.
  • Transaction Coordination: Support the agent in managing the transaction process from contract to close. Communicate with clients, lenders, inspectors, and other parties involved in the transaction to ensure all deadlines are met.
  • Property Management: Assist in managing property listings, tenant communications, maintenance requests, and lease agreements. Coordinate property inspections and manage tenant applications, including background checks. Be proficient with property management software and bookkeeping.
  • QuickBooks Management: Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and generating financial reports. Ensure accurate and timely financial record-keeping.
  • Office Management: Maintain an organized office environment. Order office supplies, handle mail and deliveries, and ensure office equipment is in working order.
  • Client Relationship Management: Update and maintain the client database. Assist in managing client appreciation events, follow-up communications, and referral programs.
  • Additional Duties: Perform other administrative tasks and projects as assigned to support the agent and enhance client satisfaction.

Qualifications:

  • High school diploma or equivalent required; property management experience preferred.
  • Previous experience in a real estate office, property management, or administrative role is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Canva, Rentec Direct) and experience with real estate software (e.g., MLS, CRM systems) is desirable.
  • Experience with QuickBooks and property management software for bookkeeping and financial management.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Positive attitude and ability to work independently and as part of a team.
  • Strong problem-solving skills and ability to manage multiple priorities.
