Office Manager – (MUST BE FULLY VACCINATED)

The Office Manager plans and coordinates administrative procedures and develops training and procedures to streamline processes. This talented individual will recruit and train personnel, assess staff performance, and guide the staff to ensure maximum efficiency. He/She will ensure adequate flow of information within the company to assist with core business using a customer-centric approach. This person will also be in control of purchasing by creating and maintaining meaningful liaisons with vendors to assure the constant procurement of supplies. He/She confers with managers to determine the amount and type of materials needed for a project and ensure that they are delivered to the manufacturing unit in a timely fashion.

KEY RESPONSIBILITIES

· Oversees Customer Service team to ensure we exceed customer expectations.

· Implements company procedures and realizes company goals.

· Handles the day-to-day activities of the office.

· Ensures competent quality execution of all regular purchasing duties and administrative works.

· Maintains complete updated office records, including procurement and human resources.

· Coordinates with user departments and suppliers as needed.

· Supports relevant departments with quotations for the purpose of cost calculation and projects.

· Responsible for the preparation and processing of purchase orders and documents in accordance with company policies and procedures.

· Assist in documentation for human resources, such as updating forms for employees and assisting new hires with documentation.

· Run background investigations through a third-party service provider as needed.

· Organize and supervise other office activities as needed.

· Oversees the company proofing process with customer service representatives and communicates with clients and internal departments for a timely and accurate outcome.

· Thorough knowledge of employee handbook in order to field any questions regarding company policy.

· Knowledge of Intuit QuickBooks is a plus.

JOB REQUIREMENTS/QUALIFICATIONS:

· Bachelor’s degree in business administration, supply chain management, or a similar field preferred. Relevant experience will be required.

· In depth knowledge of office management procedures and legal policies regarding human resources and core accounting principles.

· Proficiency in Microsoft Office and with business application software, purchasing, and resource planning systems. Knowledge of Sage 100 recommended.

· Ability to analyze data and draw sound conclusions to solve problems.

· Knowledge of the standard methods, practices and procedures utilized in the acquisition of inventory.

 

SKILLS NEEDED FOR THIS ROLE

The Office Manager must have excellent communication, interpersonal, and negotiation skills. He/She must have strong analytical thinking and problem-solving skills and must be a team player with strong organizational skills. He/She must have the ability to establish and maintain records keeping and thorough effective application of system.
