Job Description: Office Manager

Overview: We are seeking a competent and organized Office Manager to oversee the administrative operations of our office. The Office Manager will play a key role in ensuring the smooth running of daily activities, managing office resources, and supporting staff members. This position requires excellent organizational skills, attention to detail, and the ability to handle a variety of responsibilities efficiently.

Key Responsibilities:

  1. Administrative Management:

    • Manage daily office operations and administrative tasks, including reception duties, mail distribution, and office supply management.
    • Coordinate and schedule meetings, appointments, and travel arrangements for executives and team members.
    • Maintain office policies and procedures, ensuring they are up-to-date and adhered to by staff.
  2. Facility and Resource Management:

    • Oversee the maintenance and organization of office facilities, equipment, and supplies.
    • Manage vendor relationships for office services, including cleaning, maintenance, and supplies procurement.
    • Ensure office security measures are implemented and maintained.
  3. Human Resources Support:

    • Assist with the recruitment process, including job postings, scheduling interviews, and onboarding new employees.
    • Maintain employee records and HR documentation, ensuring confidentiality and compliance with regulations.
    • Support HR activities such as employee engagement initiatives, performance evaluations, and benefits administration.
  4. Financial Administration:

    • Assist with budgeting and expense tracking, processing invoices, and maintaining financial records.
    • Monitor office expenditures and handle basic accounting tasks, such as reconciling expense reports.
  5. Communication and Coordination:

    • Serve as the primary point of contact for internal and external communications, including phone calls, emails, and inquiries.
    • Facilitate effective communication within the office and across departments, ensuring timely dissemination of information.

Qualifications:

  • Proven experience as an Office Manager or similar administrative role.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in office software (e.g., MS Office Suite) and familiarity with office equipment.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Knowledge of basic HR practices and office management procedures.
  • Attention to detail and problem-solving abilities.
  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).

Working Conditions:

  • Typical office environment, requiring regular hours Monday to Friday.
  • Occasional flexibility may be required to accommodate meetings or events outside regular hours.
