ENGLISH LUTHER CHURCH

POSITION TITLE: Administrative Assistant
ACCOUNTABLE TO: English Lutheran Church
PRIMARY OBJECTIVE(S) OF POSITION
To perform secretarial/communication support services subject to regular supervision and review;
including transmittal correspondence, Church newsletter (Crossbeams), surveys, appointment
scheduling, phone call, visitor screening, file maintenance, records safekeeping and other duties as
assigned.
MAJOR AREAS OF ACCOUNTABILITY
Performance Measurement Indicators
1. Drafts, types, and proofreads correspondence, memos and documentation for mechanical errors.
Drafts routine documents. Work is performed accurately and within established deadlines.
2. Opens mail, organizes by importance, routes to supervisor, and where possible, handles without
further instruction from the supervisor. Mail is ready for supervisor’s attention.
3. Answers telephones when supervisor is out of the office or in conference. Accurate messages are
taken and good judgment is exercised as to when supervisor is interrupted.
4. Supports Pastor in assembling the materials, bulletin including various announcements for all
church services.
5. Maintains postdate system, with the supervisor’s direction, to meet deadlines and follow-up on
important events, visits, correspondence, and other matters needing attention.
6. Sets up and maintains church files and records. Files should be organized in an orderly state for
immediate access by supervisor; ensures the confidentiality of files; photocopies as necessary.
Files are current, organized and readily accessible.
7. Sets up meetings both inside and outside of office as requested.
8. Orders supplies, assists Committees with organizing events.
9. Assumes other responsibilities as assigned or apparent.
GENERAL PERFORMANCE CRITERIA
A. Develops and maintains a cooperative working relationship with members of the Church,
community, and other outside contacts.
B. Anticipates and balances the workload based upon general guidelines established. Is able to meet
short and/or unpredictable deadlines.
C. Consistently meets expectations including the following:
1. Understands and conforms to firm policies and procedures;
2. Recognizes and utilizes the Church resources effectively and efficiently. Develops and
maintains a sufficient working knowledge of the organization as a whole;
3. Plans, organizes and carries out assigned job responsibilities within established time
parameters;
4. Confers with supervisors with regard to overtime requirements. Is willing to accept
overtime to complete assigned tasks;
5. Develops mutual working relationships with supervisors in order to anticipate work needs.
Prepares in advance to relieve supervisors of as many administrative tasks as possible.
D. Maintains confidentiality.
E. Uses time conscientiously. Arrives for work on time, not abusing unplanned time off, and being
consistently present at the office.
F. Consistently projects a positive, professional attitude and approach to the job, the Church
members, and co-workers.
