Job DescriptionJob Description

The Accounts Payable Administrator will be responsible for managing all aspects of the accounts payable function. This includes ensuring timely and accurate processing of invoices, tracking and reconciling credit card statements, and maintaining up-to-date bookkeeping records. The ideal candidate will have experience with QuickBooks, Microsoft Office, and a strong understanding of general accounting principles. This part-time position is expected to require approximately 20 hours per week.

Key Responsibilities:

·         Manage all aspects of accounts payable, including the accurate and timely processing of invoices.

·         Reconcile charges on credit card statements by matching receipts and analyzing charges.

·         Prepare Excel spreadsheets to allocate charges to the proper accounts in QuickBooks.

·         Obtain approval for invoices before processing payments and entering data into QuickBooks.

·         Issue accounts payable checks and enter data into Positive Pay, ensuring accurate tracking of payments.

·         Collaborate with Accounts Receivable to ensure proper flow-through of accounts payable invoices for invoicing purposes.

·         Track and bill reimbursable expenses accurately and in a timely manner.

·         Issue 1099 forms at year-end and track Use Tax monthly, ensuring compliance with annual sales tax reporting.

·         Maintain organized records of contracts, Certificates of Insurance (COIs), W-9 forms, and lien waivers.

Qualifications:

·         Proficient in Microsoft Word, Excel, QuickBooks, Outlook, and Adobe.

·         Strong understanding of bookkeeping procedures and general accounting principles.

·         Experience in managing accounts payable and related financial tasks.

·         Excellent organizational skills and attention to detail.

·         Ability to handle a variety of duties and prioritize tasks effectively.

·         Strong communication skills for interacting with internal teams and external partners.
