Overview: Farha Roofing, LLC and Double Down Properties are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will have experience in accounts payable, QuickBooks, property management, and proficiency in Microsoft Office and Google Suite. This role offers the opportunity to work in a dynamic environment where you can contribute to the success of our growing businesses.

Responsibilities:

  • Manage accounts payable processes, including invoice processing, payment scheduling, and vendor communication.
  • Utilize QuickBooks to maintain accurate financial records and generate reports as needed.
  • Assist with property management tasks such as tenant communication, lease agreements, and property maintenance coordination.
  • Provide administrative support to various departments, including data entry, filing, and correspondence management.
  • Coordinate meetings, appointments, and travel arrangements for team members as required.
  • Prepare and distribute internal and external communications, including memos, emails, and reports.
  • Maintain confidentiality of sensitive information and handle it with discretion.
  • Perform other duties as assigned to support the efficient operation of the office.

Requirements:

  • Proven experience as an administrative assistant, accounts payable clerk, or similar role.
  • Proficiency in QuickBooks for accounting tasks is required.
  • Experience in property management is highly desirable.
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Suite (Docs, Sheets, Gmail).
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Effective communication skills, both written and verbal.
  • Ability to work independently with minimal supervision and as part of a team.
  • Discretion and confidentiality in handling sensitive information.
  • High school diploma or equivalent qualification; additional certification in office administration or related field is a plus.
