Job Description:

We are currently looking for a dedicated Administrative Assistant with experience in Construction and Accounts Payable to join our team, providing essential high-level administrative support to one of our executives. This role involves handling a variety of administrative tasks related to property management, coordinating meetings, managing purchase orders, utilizing app-folio property management software, and undertaking miscellaneous duties. If you have prior experience as an executive secretary or administrative assistant, possess strong Excel proficiency, and have a background in construction, we encourage you to apply.

Responsibilities:

  1. Executive Admin. Support:

    • Manage administrative tasks related to property management for the Executive.
    • Arrange and coordinate conference calls and meetings.
    • Handle purchase orders and ensure accurate processing.
  2. App-folio Property Management:

    • Utilize app-folio property management software for efficient record-keeping and management.
  3. Miscellaneous Duties:

    • Undertake various miscellaneous duties as assigned by the Executive.
  4. General Ledger (GL) Account:

    • Contribute to GL account management, ensuring accuracy and completeness.
  5. Excel Proficiency:

    • Demonstrate strong proficiency in Excel for data analysis and reporting.
  6. Construction Knowledge:

    • Leverage construction industry knowledge to enhance support in relevant tasks.

Qualifications:

  • Previous experience as an executive secretary, administrative assistant, or in a related field.
  • Strong experience with Excel for data analysis and reporting.
  • Experience in using app-folio property management software.
  • Construction industry experience is a plus.
  • Exceptional organizational skills with the ability to prioritize and multitask effectively.
  • Strong attention to detail to ensure accuracy in tasks and documentation.
  • Trade experience a plus
  • Computer skills
