The Invoicing Specialist/Administrator will collaborate closely with various departments to compile the necessary information for billing and maintain accurate records.

KEY RESPONSIBILITIES


  • Invoice Generation: Create and generate accurate and timely invoices for completed roofing projects, ensuring all details are correct.
    Verify project completion status and cross-reference with work orders, contracts, and other relevant documents.
  • Data Verification: Review and validate data for each invoice, including project details, materials used, labor hours, and any additional charges. Collaborate with project managers and field staff to resolve any discrepancies or missing information.
  • Documentation Management: Maintain organized and up-to-date documentation related to completed projects, contracts, and customer information. Ensure all necessary supporting documents are attached to invoices.
  • Customer Communication: Communicate with customers to confirm project details and address any billing inquiries or concerns.
    Provide assistance to customers in understanding invoice details and payment terms.
  • Collaboration: Work closely with the finance department to reconcile invoices and payments, resolving any discrepancies.
    Collaborate with project managers, sales teams, and administrative staff to obtain accurate and complete billing information.
  • Record Keeping: Maintain comprehensive records of all invoices, payments, and customer interactions.
    Prepare reports summarizing billing activities for management review.
  • Compliance: Ensure compliance with company policies and relevant regulations regarding invoicing and record-keeping.
    Stay informed about changes in billing and invoicing standards.
  • Needs to be able to read a Scope of Work
