JOB TITLE: Patient Care Coordinator / Surgery Coordinator

Department: Operations

Reports to: Practice Manager

SUMMARY

We are seeking a Patient Care Coordinator/Surgery Coordinator for our esteemed plastic surgery practice, Plastic Surgery of Tuscaloosa, located in Tuscaloosa, AL. The ideal candidate will possess exceptional organizational skills to coordinate surgeries and patient care effectively. This role demands a balance of administrative acumen and interpersonal finesse to ensure seamless patient experiences.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned)

Patient Care Coordinator/Surgery Coordinator Duties:

  • Serve as the primary point of contact for patients scheduling surgeries, meet with patients and provide quotes (virtual and in-person).
  • Demonstrated expertise in sales, with a proven ability to provide high-value quotes and successfully convert them into bookings
  • Maintain a full surgery schedule by following up with patients who have not yet scheduled and addressing any obstacles to encourage their scheduling.
  • Collaborate closely with the physician to manage and adapt to changes in surgery availability.
  • Coordinate surgical schedules, ensuring optimal utilization of operating room time and resources.
  • Communicate effectively with patients regarding pre-operative instructions, including medication management, fasting guidelines, and procedural details.
  • Obtain necessary pre-operative clearances and ensure all required paperwork and consents are completed accurately and in a timely manner.
  • Facilitate communication between patients, surgeons, and other healthcare team members to address questions, concerns, and special needs. Adhere to facility policies and protocols.
  • Adhere to facility policies and protocols.
  • Understand HIPAA and the importance of maintaining patient confidentiality.
  • Have proper etiquette for assigned jobs and respect all our patients.
  • Advanced knowledge of the types of surgical procedures and treatments offered at the practice.

QUALIFICATIONS

EDUCATION AND EXPERIENCE

  • Minimum of 2 years of experience working as a surgery coordinator, preferably in plastic or reconstructive surgery.
  • Minimum associate's degree in a medical field of study.

SKILLS/ABILITIES

  • Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Exceptional interpersonal and communication skills, with a compassionate and patient-centered approach.
  • Proficiency in medical terminology, electronic health records (EHR), and Microsoft Office applications.
  • Commitment to maintaining confidentiality and upholding ethical standards in patient care.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit, stand, walk, reach with hands and arms, and to talk and hear. Employees may be occasionally required to climb or balance, stoop, kneel, or crouch. Employees must occasionally lift and/or move up to 50 pounds along with pushing and pulling on higher BMI patients. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT

While performing the duties of this job, employees may be exposed to risk of infectious diseases when interacting with patients and/or family members. The employee may be occasionally exposed to wet and/or humid conditions, moving mechanical parts, fumes, or airborne particles, toxic or caustic chemicals and vibration. The noise level in the work environment is usually moderate.
