We are a leading boutique CPA firm in Westlake Village and are looking for an experienced, sharp, hardworking, and efficient Secretary/Admin Assistant for our company. Looking for a candidate with a minimum of 3 years' experience, assisting CPA’s. Heavy phones, appointment and calendaring, assembling tax returns and financial statements. We are a fast-growing firm and are in need of an all-star and experienced gate keeper. Hourly rate is $22-$25 per hour, based on experience, along with a very generous tax season bonus. We offer a 401k, vacation pay and sick time, a professional work environment, and a family atmosphere. Below are the duties and responsibilities of the Secretary/Admin Assistant. Additional duties may be added as the position grows.  Minimum work hours 9am-2pm, M-F.

DUTIES AND RESPONSIBILITIES:

  • Provide administrative assistance, including preparing communications on two partners’ behalf
  • Maintain comprehensive and accurate billing records, documents, and reports
  • Perform assembly of tax returns, financial statements, and other special reports as needed.
  • Organize meetings, including scheduling, sending reminders, or calling clients as needed.
  • Answer incoming phone calls in a polite and professional manner and accurately taking messages
  • Welcome visitors and identify the purpose of their visit before directing them to the appropriate person
  • Manage the partners day-to-day calendars, including making appointments and prioritizing the most sensitive matters
  • Use various software, including word processing, billing and Lacerte tax software for sending authorizations and printing, mailing and finalize the filing of tax returns in connection with Partners.


SKILLS AND QUALIFICATIONS:

  • Time management and ability to meet deadlines
  • 2-3 years of experience in a CPA firm
  • Excellent verbal and written communication skills
  • Strong organizational skills and ability to multitask
  • Ability to act as gatekeeper and escalate relevant information to partners as needed
  • Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors, fax machines).
  • Ability to work effectively with minimal supervision
  • Strong interpersonal skills
  • Ability to treat confidential information with appropriate discretion
  • Exceptional attention to detail
  • Familiarity with Microsoft Office Suite
