POSITION SUMMARY:

The Volunteer Engagement Coordinator is the first point of contact for Houston Food Bank (HFB)’s new and returning volunteer groups. This position is an ambassador for HFB’s volunteer experience and is knowledgeable of the various volunteer programs and onsite opportunities available. The Volunteer Engagement Coordinator supports volunteers along the volunteer Journey, including overseeing the volunteer management system with group registration, group scheduling, confirming group numbers, and other logistical planning needs. This position coordinates and aims to accommodate any special requests including group tours, catering services, project area coordination, corporate groups, media logistics, and other special events in a welcoming manner.

ESSENTIAL JOB FUNCTIONS:

  1. Reliable, consistent, attendance is a requirement. This position requires punctuality and dependable attendance to meet the needs of the business, including attending and taking part in meetings and presentations.
  2. Oversees the full volunteer group scheduling process by responding timely to volunteer inquiries via phone and email.
  3. Maintains the volunteer management system with necessary group registration information.
  4. Greets volunteer groups upon arrival, assists with the check-in process, provides support to any questions or issues that arise, and supports in project areas during their volunteer experience.
  5. Attends meetings to provide updates about scheduled volunteer groups with a focus on logistics that may impact the production team (i.e., group size, project area, conference room requests, HFB tours, and other special requests)
  6. Attends recruitment fairs at various offsite locations to promote and recruit potential volunteers (some outdoor event support as needed).
  7. Collaborates with Volunteer Services leadership and team members on identifying new opportunities to improve the volunteer experience.
  8. Supports scheduled corporate volunteer events, media coverage, special onsite events, HFB east branch tours, and community outreach for prospective volunteers.
  9. Gathers and compiles updates for email newsletters to highlight upcoming volunteer opportunities, volunteer spotlight stories, and HFB organizational changes to existing volunteers and community partners.
  10. Implements initiatives to improve the volunteer experience including a volunteer recognition programs.

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

QUALIFICATIONS:

Education/Experience:

  • High School Diploma from an accredited school or general education development (GED) certificate, bachelor’s degree preferred
  • Minimum of 2 years’ experience in an administrative support role
  • Minimum of 2 years’ experience with in-person customer service
  • Minimum of 1 year experience with volunteer program preferred
  • Minimum of 1 year experience with scheduling and event coordination preferred

Certificates, Licenses, and Registrations:

  • Must have reliable transportation, a valid driver’s license, and insurance.

PHYSICAL REQUIREMENTS:

WORK ENVIRONMENT:

While the job is generally performed in an enclosed office environment, the employee is occasionally exposed to wet and/or humid conditions, strong food-related smells, and outside weather conditions. The noise level in the office environment is typically quiet, but the employee will be occasionally exposed to loud noise levels (e.g., horns, fans).

TRAVEL REQUIRED:

Travel is required for this position (up to 10% of the time and on a domestic basis within our 18-county service area).

This role supports hours of operations at the Houston Food Bank facilities, as necessary, and may require flexibility (e.g., times of disaster, community events, company events).
