Job DescriptionJob Description

The Program Specialist, Future Planning & Probate, assists the Future Planning & Probate Program with the development and implementation of estate planning and probate legal services for low-income D.C. residents, including conducting intakes for this Program and other Pro Bono Center (PBC) clinics, supporting the Probate Resource Center, and staffing the monthly Advice & Referral Clinic. The Program Specialist must communicate regularly with prospective clients fluently in Spanish and English.

ESSENTIAL DUTIES & RESPONSIBILITIES

The Program Specialist coordinates and supports these programs by:

• Serving as the primary point of contact for prospective clients; scheduling intakes; interviewing prospective clients by telephone and/or in-person to complete intakes; screening and tracking cases for assignment to pro bono attorneys; retaining interpreters; confirming client appointments; supporting attorneys in providing pro bono services to their assigned clients; providing brief referrals when needed; coordinating logistics for the Probate Resource Center.

• Completes conflict checks for cases referred to Program.

• Communicates and coordinates with firms and partner organizations regarding Program activities.

• Assists the Managing Attorney with determining appropriate case placements with volunteer law firms and attorneys.

• Drafts forms, reports, correspondence, notices, and other documents, in both English and Spanish.

• Collects and manages data for the Program.

• Staffs the Probate Resource Center at the D.C. Superior Court Probate Division.

• Occasionally files documents in-person at the Probate Division.

• Assists clients with administrative tasks when requested by the attorney.

• Assists in recruiting volunteers for the Program.

• Prepares and maintains client case files for Program, including closing case files upon completion.

• Assists in developing training materials and in conducting training for attorney volunteers.

• Manages clients while providing on-site support at the Probate Resource Center.

• Supports Program outreach initiatives, e.g., by drafting and distributing messages to D.C. legal service provider listservs, and by updating probono.net/dc.

• Creates and maintains legal and non-legal referral guides.

• Assists in building relationships and collaborations with non-legal partners.

• Develops and drafts template documents and informational guides for both attorneys and the public.

• Accurately updates the Center’s client, case, and volunteer data, and devises and implements system improvements.

• Occasionally serves as back-up for the Advocacy and Justice Clinic, and completes intakes for the Advocacy and Justice Clinic for clients with language access needs (Spanish)

• Supports language access activities of the Center.

• Performs other duties as assigned.


MINIMUM QUALIFICATIONS

• Relevant work experience.

• Demonstrated commitment to valuing diversity and contributing to an inclusive working environment.

• Proficiency in Spanish.

• Excellent oral and written communication skills in Spanish and English.

• Ability to work evenings and weekends on occasion for various Pro Bono Center clinics and events.

• Proficiency with Microsoft 365, Adobe Acrobat, Legal Server, and CaseFileXpress.

• Must be detail-oriented and deadline driven.

• Excellent interpersonal and customer service skills.

• Must work well in a team environment and be able to interact with Bar members, volunteers, vendors, the public and Pro Bono Center and Bar employees.

• Must be able to interact with individuals with diverse backgrounds, including people of limited means, with patience and compassion.

• Must work well under pressure, possess excellent organizational abilities, and be able to manage several priorities in a day.

• Must be adaptable, creative, and self-motivated.

• Ability to handle and maintain the confidentiality of highly sensitive information.


PREFERRED QUALIFICATIONS

• Bachelor’s Degree.

• Experience with a legal services organization that provides legal services to indigent individuals.

• Interest in the law and the practice of law to improve the lives of low-income individuals and families.

• Experience managing or supervising attorneys and/or paralegals.

• Experience working with volunteers.
